We are seeking a dynamic Grants and Contracts Specialist to independently manage the financial and administrative aspects of our grantmaking process. This full-time, non-exempt position, based at our headquarters in Modesto, CA (remote candidates will also be considered), involves planning and executing Requests for Proposals, contracting, managing post-award activities, coordinating peer and committee reviews, leading financial management of research contracts, tracking budgets and invoicing, drafting and negotiating research agreements, tracking project reporting, communicating with researchers and institutions, and customizing and administering grants management software. What you'll be doing:
  • Execute contracts, ensure completeness, track invoices, receive deliverables, and coordinate with recipients, institutions, and internal staff
  • Assist in administering Requests for Proposals, communicate application requirements, and compile proposal materials for review
  • Serve as the main contact for researchers and university grant units, ensuring timely reporting and managing agreements
  • Compile summaries of research projects and progress
  • Prepare and track department budgets, forecast funds, resolve discrepancies, and provide quarterly financial updates
  • Maintain and update grants management software, customize workflows, and troubleshoot issues
  • Track administrative status of multiple research projects including key project deliverables and end dates
  • Ensure smooth processes between ABC and the USDA, and coordinate with finance for accurate reporting
Knowledge of:
  • Budgeting and accrual accounting
  • Strong knowledge of Excel in relation to financial management is essential
  • Familiarity with Microsoft software, including Word, PowerPoint, Excel, Outlook and ability to learn, use and manage SharePoint, and other software
  • Grant and contract management and familiarity with the grantmaking lifecycle
  • Knowledge and experience in research administration including review of proposals for contracts and grants, review of submission guidelines, and preparation and review of research agreements is highly desirable
  • Smart Simple or other grant management software systems is a plus
Skill in:
  • Principles and practices of effective written and oral communications, including report preparation, correspondence, English grammar, spelling and punctuation to create clear and accurate documents and emails
  • Exceptional financial acumen including budget tracking, financial analysis, and reporting
  • Strong project management skills with the ability to juggle multiple projects simultaneously and prioritize competing tasks and deadlines
  • Exceptional attention to detail and organizational skills. Ability to organize and keep track of a large number of financial and administrative details related to managing department processes and grant agreements
  • Building relationships and collaborating with a wide array of internal and external stakeholders and groups
  • Strong contract and grants management expertise

Education And Experience: A typical way to obtain the above knowledge and skill is a combination of education and experience equivalent to:
A bachelor's degree in accounting, business administration, finance or a closely related field with 5+ years related post college experience. Two years of experience may be substituted for each year of required education.
The salary range given is based on the cost of labor in our home office's geographical area. For candidates working remotely, compensation will be adjusted according to their local market.
