Duties & Responsibilities
Summary
VCU's Campus Enterprises is seeking to hire an Accounts Representative for their Parking and Transportation unit. The Accounts Representative assists with the daily operations of the customer service offices by assisting customers and managing customer parking accounts.
The Accounts Representative responds to customer inquiries in person, online and via telephone, in a timely and respectable manner by practicing first call resolution, preventing call escalation, and adhering to service procedures and guidelines. They will daily reconcile cash, check, and credit card payments, issue parking permits, resolve parking citations, and utilize several technology solutions including T2 Flex, a POS terminal, cash register, and several cloud based systems used by Parking and Transportation Services.

Responsibilities include (but are not limited to):
Subscriber Inquiries
- Responds to customer inquiries in-person, via telephone, and email in a timely manner by practicing first call resolution, prevent call escalation, and adhering to procedures and guidelines
- Addresses parking issues and determines space eligibility
- Issues permits for, and resolves complaints from, faculty, staff, and students
- Daily reconciles cash, check, and credit card payments issued for permit purchases and citation payments, using end-of-day resorts produced using T2 Systems, POS terminal
- Maintains a daily individual register change fund of $150.00
- Accurately enters transactions to appropriate Banner index/accounts on a daily basis; responsible for correcting entries as needed
- Verifies payroll deduction requests. Submits date for changes, updates, or refunds according to departmental guidelines
- Collects funds from towing vendor as needed
- Coordinates supporting documents from Enforcement & Safety Supervisor, verifies the tow, and updates the system as "paid"
- Demonstrates a commitment to risk assessment (considering cost, benefit, and impact) utilizes identified internal control mechanism practices routine verification of the accuracy of data
- Manages assigned permit inventory in compliance with established departmental guidelines
- Utilizes individual daily permit reconciliation reports for permit tracking purposes, to audit and monitor permit inventory and all related permit material
- Verifies and relays scofflaw and citation information, when needed
- Receives and relays information to the field officers, to include monitoring during tow/immobilization situations as needed, utilizing a handheld radio device
- Transmits information by way of 10 codes and phonetic alphabet, in accordance with departmental policies and procedures, for proper operation
Minimum Hiring Standards
- Excellent oral and written communication skills
- Ability to meet deadlines without sacrificing quality production
- Ability to type at least 45wpm
- Possess average computer software skills/learning ability
- Must possess a high school diploma, GED or equivalent experience
- Ability to work in a diverse work environment
- Demonstrated experience working in and fostering an environment of respect, professionalism, and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU
- College degree in Business Administration, Finance, or Service field
- Experience working in a university setting
- Familiarity with T2 Systems, JustPark technology, and/or POS systems
- Experience in a professional office environment
- Valid Driver's License
