Hermance Law, a boutique estate planning law firm, is seeking a Legal Intake Specialist to join our dynamic and client-focused team. This role is essential in helping us provide exceptional service to individuals and families seeking estate planning services.
Position Overview:
As the first point of contact for prospective clients, the Legal Intake Specialist will play a key role in managing incoming leads, guiding potential clients through the initial intake process, and scheduling consultations with our attorneys. This role is also responsible for managing client payments, ensuring timely processing, and maintaining accurate financial records. The position also involves tracking cash flow, identifying potential issues, and supporting overall financial health through diligent monitoring and reporting. The ideal candidate will have excellent communication skills, a compassionate demeanor, and the ability to multitask in a fast-paced environment.

Responsibilities
• Act as the first point of contact for new client inquiries through phone, email, and online forms.
• Qualify incoming leads by understanding their needs and explaining the firm's services.
• Schedule client consultations and manage the attorney's calendar.
• Follow up with leads to ensure prompt scheduling and answer any questions.
• Input client details into the CRM system accurately.
• Work closely with the legal team to facilitate client intake and onboarding processes.
• Process client payments (credit card, check, ACH, e-check, etc.) in a timely and accurate manner
• Issue invoices and payment links as needed
• Follow up on outstanding or overdue invoices
• Coordinate with the legal/finance team on client payment plans or adjustments
• Enter and record all payments accurately in the case management or accounting system
• Maintain confidentiality of sensitive financial information
• Create a welcoming and empathetic experience for all clients
Qualifications
• Prior experience in customer service, intake, or administrative roles (legal experience preferred but not required )
• Excellent verbal and written communication skills
• Experience with basic accounting or bookkeeping and familiarity with financial software
• Strong attention to detail and organizational skills, with the ability to manage multiple transactions and deadlines accurately
• Ability to empathize and build rapport with clients, especially in emotional or difficult situations
• Strong organizational skills with high attention to detail
• Capability to work both independently and as part of a team
