Administrative and IT Department Coordinator Location: Auburn Hills, MI Type: Full-Time (6+ Month Contract, Possible Conversion to Permanent after 6 months but not guaranteed) Compensation: $22.00 to $26.00 per hour OVERVIEW
: Our client is seeking an experienced Administrative and IT Department Coordinator to support their Vice President of IT and the broader IT team. This position requires a detail-oriented individual with prior experience supporting technical departments or helpdesk teams. The ideal candidate will be comfortable juggling a mix of administrative support, scheduling, reporting, purchasing coordination, and light IT tracking.
This is a full-time, onsite position based in Auburn Hills, MI. While there is potential for this role to become permanent after six months, conversion is not guaranteed. KEY RESPONSIBILITIES:
Under the direct supervision of the Senior Vice President of Information Technology, this position provides administrative and secretarial support for the Senior Vice President of Information Technology and the IT Department. In addition to typing, filing, scheduling, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, working on special projects. In addition, answers non-routine correspondence and will oversee sensitive and confidential information. Deals with a diverse group of external and internal callers and visitors at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures. Schedules and organizes complex activities such as meetings, travel, conferences, and department activities for all members of the department. Performs desktop publishing. Creating and developing visual presentations for the Senior Vice President of Information Technology. Establishes, develops, maintains and updates filing system for the Senior Vice President and the department. Retrieves information from files when needed. Establishes, develops, maintains, and updates library of trade journals and magazines. Organizes and prioritizes large volumes of information and calls. Sorts and distributes mail. Opens mail for the Senior Vice President. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information. Function as a liaison with other departments and outside agencies, including high-level staff such as CEO'S, Presidents, Senior Vice Presidents, and Chiefs. Oversees confidential and non-routine information and explains policies when necessary. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the Senior Vice President, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures. Types & designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. Supports the IT team with licensing tracking, software/hardware ordering, & invoice approval activities. Reviews incoming support tickets and uses technical judgment to assign each ticket to the appropriate technician and category based on issue type, location, urgency, and resource availability. Manages the termination archive process, ensuring proper documentation, organization, and storage of IT-related user data for separated employees. Assists, reviews, and analyzes requests for information as needed by Security and Network Team. Assists in the preparation and execution of security posture and security guidelines as directed by Senior Vice President of Information Technology, Corporate Network Manager, and/or Business Systems Manager. Assists in reviewing end users’ security training and phishing campaigns and reports all findings to Senior Vice President of Information Technology. Assists with implementing the quarterly Security Education Awareness training program. Prepares security reports for Senior Vice President. QUALIFICATIONS:
High school diploma or GED; one or more years of experience or training; or equivalent combination of education and experience. Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level acquired through 1+ years related experience. Design and implement effective testing processes to ensure projects adhere to deliverables. Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database, and presentation software. Must have strong technical skills and must be comfortable working with a technical team. Coordinate with consultants to define project scope and project plan. Must have an elevated level of interpersonal skills to manage sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy. Some analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work. Develop annual department budget. Must possess sufficient technical acumen to interpret helpdesk issues and accurately route support requests within the IT ticketing system. Requires strong attention to detail and effective written and verbal communication skills. SCHEDULE: Monday through Friday, standard business hours. This is a fully onsite role.
