Description Job Purpose The Procurement Coordinator supports the Procurement Specialist in ensuring materials and services are procured efficiently and on time for all construction projects. This role facilitates communication between internal teams, vendors, and suppliers; helps maintain accurate records; and supports operational workflows to ensure smooth procurement processes. The ideal candidate is organized, detail-oriented, and comfortable working both independently and as part of a team. Procurement Support: Assist with obtaining quotes, drafting purchase orders, and tracking material deliveries. Follow established MYNT procedures to support order placement and fulfillment. Support in updating and maintaining procurement software tasks and delivery schedule reports. Participate in weekly or monthly meetings with major suppliers to provide accurate forecasting information. Maintain records of pending and completed purchase orders and track material inventory. Research vendors and materials for cost-effective and timely procurement options. Assist with reviewing vendor documents including COIs and W-9s. Administrative & Coordination Tasks: Coordinate with vendors and internal teams to ensure accurate and timely delivery of materials. Help organize and maintain the MYNT warehouse, including assisting with physical reception as needed. Assist in preparing closeout binders including material warranties, spec sheets, and manuals. Provide administrative support with project documentation including submittals, RFI's, and RFQ’s. Maintain accurate and organized digital filing of procurement documents. Attend and support weekly procurement or construction huddles and maintain meeting minutes. Communication & Reporting: Provide regular updates to the Procurement Specialist on order status and any delays. Communicate with project teams to ensure they are informed about material timelines and deliveries. Help with monthly billing research and invoice reconciliation as directed. Respond to internal and external procurement-related inquiries in a timely and professional manner. Daily Tasks: Update procurement and project management software(s). Organize and upload documents in project sheets and shared folders. Weekly Tasks: Draft, route and maintain version control for purchase orders. Run and review delivery and inventory reports. Review and track vendor quotes and invoices. Maintain version control of bids, quotes and/or proposals. Track materials to delivery. As Needed Tasks: Assist with preparing and maintaining project cost reports. Support fleet and equipment coordination. Handle confidential information with discretion. Support creation of closeout binders. Receive and inventory new materials at warehouse or HQ. Experience: 2–4 years in a procurement or administrative coordination role, ideally in construction or related industries. Experience with Google Workspace, PDF editing, and basic inventory software. Forklift certification is a plus, or willingness to obtain.
