Community Ambassador/Reception & Guest Services

Position Summary:

The Community Ambassador/Reception & Guest Services serves as the face of the organization, delivering exceptional hospitality and ensuring a seamless office experience for all employees, clients, and visitors. This role oversees reception, meeting room management, pantry and event support, mail logistics, and general office services, maintaining a polished and efficient workplace environment.

Schedule: Monday-Friday 7:30am-4:30pm (must be flexible)

Pay Range: $29-32/hr.

Reception & Guest Services

Greet guests, clients, and employees with professionalism and warmth, both in person and via telephone, providing concierge-level service. Develop and utilize standardized scripts for calls, emails, and in-person interactions to ensure a consistent, high-touch guest experience. Manage visitor check-ins, badge requests, and access coordination with building security. Escort guests to meeting rooms and assist with coats, luggage, and guest Wi-Fi access as needed. Keep the reception area clean, organized, and welcoming at all times. Coordinate messenger services and handle inbound inquiries or referrals as appropriate.

Meeting Room & Event Support

Serve as the primary point of contact for conference room management, overseeing bookings, setup, AV needs, catering, and guest logistics. Conduct regular floor walks to ensure meeting rooms and common areas are tidy, well-stocked, and prepared for upcoming reservations. Support VIP and client-facing meetings with tailored setup, including signage, registration materials, Wi-Fi access, and hospitality items. Communicate with internal teams, vendors, and building management to coordinate room setups, audiovisual requirements, and food and beverage deliveries. Provide first-level troubleshooting for audiovisual equipment and maintain visible presence for real-time meeting support.

Pantry & Food Services

Maintain pantry and refreshment areas to "white glove" standards, ensuring products are neatly organized, within expiration, and attractively displayed. Oversee daily pantry operations, including stocking shelves and refrigerators, loading/unloading dishwashers, preparing coffee, and tracking supply levels. Receive and distribute daily food deliveries; manage consolidation and disposal of expired or unused items. Implement just-in-time inventory ordering practices to minimize waste and ensure availability of pantry and conference room supplies.

Catering & Event Coordination

Manage all aspects of internal catering orders, from placing and receiving orders to coordinating setup and breakdown. Support internal and external office events, including holiday parties, corporate outings, and executive meetings. Maintain accurate inventory and manage timely ordering of all food, beverage, and event-related supplies.

Facilities Support

Submit and monitor facilities tickets for maintenance issues including lighting, spills, and equipment malfunctions. Liaise with property management and vendors to ensure timely resolution of workplace issues. Document and communicate facilities-related updates and irregularities to ensure continuity of service.

Mailroom, Shipping & Supplies

Receive, sort, and distribute incoming mail and packages; scan and log items as needed. Coordinate outbound shipments, including packaging, labeling, and selecting cost-effective courier options. Replenish paper and supplies across printer/copier stations and assist with basic troubleshooting of devices. Perform regular audits and restocking of office supply areas, ensuring availability and organization.
