Private Events & Tournament Banquet Coordinator

The Private Events & Tournament Banquet Coordinator is responsible for organizing and executing all aspects of private events, golf tournaments, and associated banquet functions. This role ensures seamless communication between departments, coordinates setup and service details, and delivers outstanding experiences for members and guests. The Coordinator will work directly with the Private Event Sales Manager and Food & Beverage Director to bring each event to life with efficiency and attention to detail. Key Responsibilities:
Serve as the liaison between clients, vendors, and internal departments for all private events and tournament banquets. Coordinate event timelines, floor plans, menus, and banquet setup in alignment with client expectations and club standards. Assist with pre-event planning, including booking, confirmations, rehearsals, and menu selections. Ensure all event logistics are executed smoothly, including AV, signage, rentals, and staffing. Oversee event setup, execution, and breakdown, ensuring quality control and adherence to timelines. Communicate with culinary and banquet teams regarding menu details, dietary restrictions, and special requests. Support the Golf Professional Staff in tournament-related banquet events and awards coordination. Handle guest concerns or last-minute changes with professionalism and urgency. Maintain detailed event files, contracts, and billing records. Attend pre-event meetings, tastings, and site visits as needed. Qualifications:
Previous experience in event coordination, hospitality, or banquet operations preferred. Excellent organizational and communication skills. Ability to manage multiple events and deadlines simultaneously. Strong interpersonal skills and customer-service mindset. Proficient in Microsoft Office Suite and event software.
