Performance Operations Manager
The Performance Operations Manager supports senior leadership by managing project timelines, streamlining operational tasks, and ensuring consistent communication across teams and properties for an assigned client portfolio. This role blends project coordination, administrative support, and regional operations to keep both stabilized and lease-up assets on track.
Key responsibilities include tracking deadlines/requirements, facilitating new product implementations, supporting client directives across the portfolio, organizing project documentation, monitor workflows, preparing performance reports, and providing day-to-day support to regional and site teams. The role requires advanced Excel skills, an understanding of financial concepts, attention to detail, and the ability to balance fast-paced priorities while maintaining clear communication with managers, residents, owners, and vendors.
Essential Duties & Responsibilities
Operational Leadership
Provide ongoing support to assigned senior-level managers. Serve as the primary client-facing operations support contact; ensure all activities support client goals. Oversee and manage the Operations Specialist team and supervise all Regional Administrative Assistants (RAAs). Provide ongoing support to senior-level managers and regional teams across stabilized and lease-up communities. Coordinate travel, accommodations, and logistics as needed.
Reporting & Analysis
Prepare accurate and timely weekly, monthly, and quarterly property reports. Prepare and analyze weekly and monthly reports tracking the effectiveness of the RAA team. Track the effectiveness of the program against historical data prior to implementation, where possible. Oversee the facilitation of the monthly operating report process and ensure timely, accurate submission of operational data. Assist regional and leadership team in maintaining impactful case studies related to the portfolio. Collect, review, and benchmark historical income, expense, and operational data for apartment communities. Build and maintain performance models, as needed. Conduct real estate market research, rent/sales comp analysis, and maintain a market data database.
Project Management
Lead cross-functional project coordination: schedule, procurement, risk, and quality control. Track timelines, budgets, and deliverables; generate action plans and weekly status updates. Organize and maintain all project documentation and ensure internal/external reporting is current. Participate in project meetings, due diligence, and periodic site visits. Support the planning and coordination of any portfolio level or client meetings. Identify project risks and implement mitigation plans with management support. Organize and lead the implementation of any products within the portfolio. Maintain the client “playbook” which outlines their standard operating procedures and expectations to help ensure consistency. Assist the regional team in the on-boarding of new communities and new community managers to ensure all client expectations are adequately trained.
Client & Resident Communication
Respond to calls and inquiries from clients, residents, vendors, and team members with professionalism and clarity. Support clear and timely communication throughout all levels of internal and external stakeholders.
Education & Experience
A bachelor’s degree in finance, real estate, economics, or a related field is preferred. Ideally seeking candidates with at least 5 years of experience in property management or a similar operational role. Strong command of Microsoft Office Suite (especially Excel, Outlook, Word, and PowerPoint). Experience with property management software such as YARDI, MRI, or OneSite is preferred. Exceptional attention to detail with strong analytical thinking, problem-solving, and decision-making skills. Able to manage multiple deadlines and projects efficiently while maintaining high standards of accuracy and control. Excellent written and verbal communication skills, with the ability to clearly convey information to residents, team members, vendors, and owners. Professional demeanor with a customer service mindset and a collaborative, team-oriented approach. Highly organized, self-motivated, and capable of maintaining confidentiality. Flexible with working hours and travel; must have a valid driver's license and access to a reliable vehicle for local travel. Occasional out-of-state travel may be .
