About the role We’re searching for a trusted Executive Assistant to work closely with our CEO, someone who thrives on building strong relationships, staying two steps ahead, and keeping everything on track. This dynamic role requires a keen sense of prioritization, impeccable attention to detail and the ability to operate with discretion and professionalism across diverse initiatives. The ideal candidate will thrive in a fast-paced environment, juggling multiple high-level priorities while maintaining a strong service-oriented mindset. In addition to traditional executive support, this role will involve a degree of personal assistance, including managing personal appointments, coordinating travel and errands, and handling occasional lifestyle tasks. We’re looking for someone who is flexible, discreet, and comfortable supporting both professional and personal responsibilities. What You’ll Do Manage complex calendars, scheduling meetings, appointments, and travel arrangements for the CEO. Anticipate needs and proactively identify opportunities to streamline processes and enhance efficiency. Liaise with internal departments, like the administrative assistant team, external partners, and stakeholders to facilitate communication and workflow. Conduct research and gather information to support decision-making processes and initiatives. Provide general administrative support, including file management, office supply procurement, and other ad hoc tasks as required. Identify areas to optimize CEO's time and make recommendations in regard to time management, prioritization, and business needs. Have confidence and sound judgement in pushing back on the CEO when they get distracted from their top priorities. Demonstrate proactivity in political engagement by anticipating legislative developments, initiating advocacy campaigns, and actively participating in policy discussions to drive impactful change. Qualifications 3-5 years of proven experience as an executive assistant or similar role supporting senior executives. Exceptional organizational and time-management skills with a keen attention to detail. Excellent written and verbal communication skills, with the ability to interact professionally at all levels. Ability to prioritize tasks and manage competing deadlines effectively. Demonstrated ability to maintain confidentiality and exercise discretion in handling sensitive information. Resourceful problem-solver with a proactive and positive attitude. Flexibility to adapt to changing priorities and work independently with minimal supervision. Ability to deal with conflict as well as give and receive feedback diplomatically.
