The Board Member’s Job Description
Youth Emergency Shelter & Supports
Mission: To help youth in Hubbard County communities by providing a safe and supportive environment when youth are in crisis or in need of emergency shelter.
Time Commitment: 5-7 Hours/Month or 1-2 hours/week. Volunteers are welcome to give more time depending on their specific skills and how the time commitment fits their other life priorities. General Values, Experiences, and Commitments We Seek: Commitment to the Hubbard YESS mission and vision
Lived or family experience with runaway and homeless youth and related issues, and willingness to learn and grow in understanding and dedicate time to this (visit www.youthcollaboratory.org for free resources).
Practice attentiveness to welcoming new people into the organization and providing an “active” welcome (e.g., sending a note or email, inviting new board members to coffee to get to know them, practicing “allyship” during meetings, etc.
Interest in working collaboratively with diverse volunteers, staff, and other organizational stakeholders. Tolerance for the “productive discomfort” sometimes involved in collaboration (i.e., multiple decision-makers, accepting input from many, a slower timeline for accomplishing priorities)
Making positive communication a priority, including constructive feedback and raising issues/problems/concerns proactively so they can be addressed within Hubbard YESS
Interest in and willingness to invest time in training and personal/professional development to continue to learn and grow as a Hubbard YESS Board Member
Commitment to proactively disclosing any relationship(s) to prospective organizational employees, volunteers, and contractors
Agreements We Request of Board Members: You agree to take on only what is reasonable for you at any point. Given your other life priorities and commitments, I would like to acknowledge directly and kindly when Hubbard YESS asks you to take on more than you think you can handle.
Inform the board if you can’t do something you’ve committed to. We know that life comes with surprises, and unexpected events may arise with your family, paid work, or other areas of life.
To protect the confidentiality of clients/families served, other volunteers, staff, and organizational stakeholders.
Ability to meet the minimum time commitment described above and a commitment to inform the board if things change and you need to take a break from your volunteer commitment to Hubbard YESS. We welcome you back when your schedule allows.
Board Duties Overview: The Hubbard YESS Board is a policy board that sets policies for operating the organization, including youth shelter and support policies, budgeting, personnel, and operating procedures.
Job Responsibilities & Opportunities (Annually) Set strategic direction/review current strategic direction & thinking
Review organizational impact/performance/outcomes for the past year: How did we make a difference for youth and families? What differences did we make in the lives of our clients and community? Did we meet community needs?
Approve the organizational budget for the coming year.
Evaluate the Executive Director’s/CEO’s Performance in the past year.
Ensure an executive succession plan/process is in place for planned transitions and emergencies.
Complete a board self-assessment of the board’s work.
Develop an individualized learning plan for yourself as a board member and learning/training/professional development goals for the board. Use the funds budgeted for board training – pick a training to attend (Propel Nonprofits, Minnesota Council of Nonprofits, National Council of Nonprofits, BoardSource)
Convene and attend an annual meeting to elect new board members and officers, celebrate accomplishments and client/program successes, share stories about the year, and recognize board and staff members.
Ensure Hubbard YESS bylaws are relevant and remove barriers to conducting board business.
Review and approve an Annual Report, including programmatic accomplishments and
a financial report
Approve submission of the organizational Form 990 to the IRS.
12. Exercise oversight to ensure that state and federal reports were filed and taxes paid
Job Responsibilities & Opportunities Monthly Analyze the Strategic Priorities dashboard – Accomplishments, progress is on track, and course correction is needed.
Read the board packet carefully; schedule time before board meetings for this.
Discuss central governance or oversight issues.
Discuss Executive Director’s Priorities & Major Concerns
Review financial statements (income/expenses for the month and year-to-date & balance sheet, oversight to ensure payroll taxes are paid to the IRS and MNDOR.
Analyze the program dashboard regarding participation and outcomes.
Check staff (and Executive Director) well-being, analyze turnover, grievances, etc.)
Assess resource development activities – grants, events, individual and major donor requests, and reporting) and participate in funder site visits

Serve as an ambassador in the community - have your elevator pitch ready! Cultivate relationships that support Hubbard YESS’s mission and sustainability.
Support your ED/CEO– ask how s/he/they want to be supported.
Make a financial donation of any amount that is convenient for you.
Attend organizational events, fundraisers, and meetings.
Participate in board/committee meetings.
Invite individuals/businesses/institutions to support/attend events/serve on the board/learn about Hubbard YESS – share the Hubbard YESS annual report.
