Administrative Assistant
Provides administrative support to V.P. level manager(s) and team(s). Responsible for heavy calendaring, coordination of travel, and submitting expenses. Coordinates activities between departments and outside parties. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Monitors compliance system for external sales force. Manages requests and trackers for matters related to commissions. Responsible for events of up to 100 people including coordination of air travel, hotel, meeting space, food, agenda, and teambuilding activities. Work is generally of a critical or confidential nature. Basic knowledge of the job. Applies acquired job skills and procedures to complete assigned tasks. Semi routine tasks and recognizes the occasional need to deviate from standard practice. Requires instructions on new tasks and general supervision. Typically requires a minimum of 1-2 years of related experience. This role is fully onsite, 5 days a week, at our Austin facility. Key Responsibilities: Book/Manage travel for VP of Sales and team managers & directors Manage calendars Manage VP Inbox Process expense reports Coordinate team meetings, including scheduling, agenda preparation, food orders Take meeting minutes and manage action items Process invoices and assist with commission emails Manage COI updates Assist HR with onboarding new employees Minimum Basic Qualifications: Proficiency in Microsoft Office Suite (Outlook, Word, Excel) Experience processing expense reports Strong organizational skills Excellent written and verbal communication skills Must have a working vehicle Minimum of 2 years' experience in administrative assistant role Travel Requirements: Travel quarterly for meetings and conferences Desired Characteristics: Oracle experience Concur experience Experience managing multiple calendars and inboxes
