Executive Assistant Position
The Penn State College of Engineering is seeking an Executive Assistant to manage the operational activities for the Dean. The Executive Assistant will manage a variety of high-level, confidential, and sensitive activities on behalf of the Dean and College. Due to the sensitivity of items that may arise, this position must always exercise complete discretion and confidentiality. This position regularly coordinates and communicates with external and internal stakeholders; therefore, the successful candidate will demonstrate the ability to perform positively, respectfully, and professionally at all times. Communications include, but are not limited to, faculty, staff, students, parents, university leadership, and alumni. This role will be heavily involved in event coordination, committee meetings, and Department Head searches. Responsibilities include, but are not limited to: Oversee and manage the Dean's scheduling and appointment needs, as well as coordinate travel arrangements. Organize all speaking arrangements for the Dean and work closely with the College's communications team to ensure talking points, remarks, and presentations are compiled and reviewed for various functions. Act on behalf of the Dean and carefully create or review public communications, surveys, and act as a liaison. Monitor the Dean's public email account and disseminate or respond to all inquiries on the Dean's behalf. Prioritize conflicting needs and exhibit supreme attention to detail. Minimum Education, Work Experience & Required Certifications Bachelor's Degree 6+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None The successful candidate will demonstrate experience coordinating high-level executive meetings, creating agendas, and providing necessary briefing materials. Attention to detail, organization, professionalism, integrity, proactiveness, and the ability to multitask are required. The successful candidate must also demonstrate a genuine appreciation for working with diverse audiences and must be able to work independently in a fast-paced environment. Prior experience supervising and a strong working knowledge of University policies and procedures are strongly preferred. Familiarity with event planning, HR-related tasks, and financial experience are preferred. Background Checks/Clearances Employment with the University will require successful completion of background check(s) in accordance with University policies.
