Reporting to the Vice President & Controller, the Administrative Assistant is responsible for delivering accurate, timely, and efficient administrative support to the VP and Controller, and other aligned functional leaders. This role requires a strong understanding of organizational policies and procedures, and demands a high level of professionalism, discretion, and ethical conduct. Collaborative, team-oriented environment. Work closely with senior leadership. What You'll Do Provide administrative support, including handling confidential tasks. Collaborate closely with managers to meet time-sensitive deadlines. Prepare reports and documents using Microsoft Excel and Word. Serve as liaison with internal departments and leadership. Manage calendars and independently schedules appointments and meetings. Plan and coordinate internal and external meetings, events, and conferences. Draft and edit correspondence as requested. Maintain and organize document retention systems. Communicates with external vendors. Assist with purchasing requisitions and goods receipt processes. Order supplies using a corporate credit card and Payment.Net. Facilitate onboarding and employee transitions, including office space, phone, and network access. Receive, screen, and route incoming calls, visitors, and mail; determine appropriate handling. Process overnight shipments through a web-based system. Provide back-up support to other Senior Administrative Assistants. Participate in process improvement activities. What Will Make You Successful Proficiency in Microsoft Office (Word, PowerPoint, Excel) and Outlook. Strong verbal and written communication skills. Excellent organizational, multitasking, and research abilities. Proven ability to manage shifting priorities and meet deadlines. Adaptable, self-motivated, and dependable with a strong work ethic. Exceptional attention to detail in a fast-paced, high-volume environment. Sound judgment and discretion in handling confidential information. Skilled in building effective relationships across all levels of the organization and with external partners. Team-oriented mindset with a commitment to collaboration and support. Qualifications High school diploma or equivalent required; associate or bachelor's degree in business administration, office management, communications or relevant major preferred. 5+ years related administrative experience and/or training is preferred.
