JOB PURPOSE: The purpose of this position is to perform a variety of office management and administrative work. This position may control office workflow and establish office procedures in support of the Department of World Languages and Cultures. The incumbent typically works with a high degree of independence and uses initiative to carry out regular assignments in accordance with established policies and procedures. This position reports to the Chair of the Department. SUPERVISORY AUTHORITY: None. NATURE AND SCOPE: Internal contacts generally include administrators, faculty, students, and staff. External contacts generally include vendors, consultants, visitors, and the general public. PRINCIPAL ACCOUNTABILITIES: Maintain communication with Howard University faculty, staff, and external stakeholders. Manage administrative tasks, including scheduling, correspondence filing, and mail distribution. Track expenditures, maintain bookkeeping records, and assist with financial reporting. Perform data analysis and submit reports to leadership and key stakeholders. Support student services, including academic advising assistance and engagement activities. Assist in identifying and coordinating internship and placement opportunities for students. Organize and manage student events such as orientation, year-end celebrations, and summer programs. Maintain and update the program's website with relevant information and announcements. Provide administrative support to faculty and ensure efficient program operations. Oversee general office management, record-keeping, and compliance with university policies. CORE COMPETENCIES: Advanced knowledge of office and administrative practices and principles. Skill in operation of computers, related software applications (MS Word, Excel, PowerPoint and Access). Knowledge of standard office equipment. Ability to communicate effectively orally and in writing with a diverse population. Ability to establish and maintain effective and harmonious work relations with faculty, staff, residents, students and the general public. Proven track record of effectively managing complex calendars and scheduling appointments. Demonstrated ability to handle sensitive and confidential information with discretion and professionalism. Exceptional organizational and time management skills, able to prioritize tasks and meet deadlines. Excellent verbal and written communication skills, with strong attention to detail. Ability to problem solve independently and through strong partnerships with business partners across the globe; thrives in a dynamic environment. Strong ability to work independently, exercise judgment, take initiative, and make informed decisions. MINIMUM REQUIREMENTS: Bachelor's degree in business administration or related field and 4 - 6 years of experience. 10 years of related work experience may be substituted in lieu of educational qualifications.
