Regional Business Office Manager
The Regional Business Office Manager is responsible for overseeing the business operations across all units within an assigned region, ensuring financial performance, operational efficiency, and regulatory compliance. This role involves collaborating closely with administrators, directors, regional directors, and department heads to develop and analyze performance reports and ensure the smooth execution of business functions. The Regional Business Office Manager plays a critical role in maintaining the financial health of the organization while supporting the day-to-day administrative needs of multiple locations. Duties and Responsibilities: Financial Analysis and Reporting:
Assist administrators in analyzing the financial performance of each unit. Develop, process, and analyze performance reports, prepare budgets, and participate in monthly financial reviews to ensure targets are met and provide recommendations for improvement. Leadership Responsibilities:
Support administrative and office staff, including interviewing, making hiring recommendations, training, planning, and guiding work. Review performance, address complaints, and resolve problems to promote team effectiveness and performance. Cross-Departmental Coordination:
Work closely with department heads to establish and monitor systems that ensure the accurate collection and management of service user information. Financial Records Management:
Oversee the maintenance, filing, and security of financial records and Protected Health Information (PHI). Ensure that records are retained following required formats and regulatory guidelines. Data Management:
Manage accurate entry of consumer information, including admissions, discharges, and medical record updates. Ensure billing protocols are adhered to within required timeframes. Office Operations:
Oversee general building maintenance as needed, including ordering, and maintaining office supplies, and operating and maintaining office equipment. Financial Management:
Ensure the completion of daily deposits, oversee petty cash funds, and maintain petty cash documentation. Oversee the RFMS Management process which includes monitoring room and board payments, admissions agreements, managing the annual social security process and the Representative Payee process where applicable. Monitor company credit cards and time requirements for reconciliation to close out financials. Distribute accounts payable checks and ensure proper financial controls are in place. Staff Training and Support:
Provide training and technical support to staff across assigned units. Technical Support:
Performs Security Access Manager responsibilities for PaceNet and/or other platforms. Other Duties:
Demonstrates flexibility and commitment to meeting unit and consumer needs. Performs additional responsibilities as assigned. Supervisory Responsibilities: This position may supervise Business Managers and other office staff positions. Minimum Qualifications: Bachelor's degree in business administration, finance, or equivalent experience in lieu of degree preferred Extensive experience in business management, particularly in a multi-unit or regional role. Strong financial acumen, with proven ability to analyze and manage budgets and financial reports. Excellent leadership and communication skills, with experience in managing and developing teams. Familiarity with medical records management and compliance with PHI regulations. Ability to travel within the state as needed. Proficiency in office management software, financial systems, and data entry tools. Physical Demands and Work Environment: Ability to perform tasks requiring sustained physical activity, such as sitting, standing, walking, or repetitive hand movements. Frequent use of standard office equipment, including computers, phones, and other peripherals. Ability to lift and carry items within a reasonable weight range, if necessary. Regular use of technology and exposure to prolonged periods of screen time.
