About the Role:
The Receptionist and Client Service Specialist plays a vital front-line role at our client's firm, representing values of trust, integrity, and excellence. This hybrid position provides an exceptional first impression for all clients and visitors while also supporting the broader client service team with administrative and service-related tasks. As the first point of contact, this team member upholds the firms commitment to high-touch client care within our collaborative ensemble practice structure.
Front Office/Reception Duties Serve as the primary point of contact for clients, visitors, and vendorsgreeting and directing them with warmth, professionalism, and discretion. Answer and route incoming phone calls and messages; monitor general voicemail and email inboxes. Maintain the reception area, client meeting spaces, and common areas to ensure a tidy, welcoming environment. Manage meeting room scheduling and preparation, including beverage/refreshment service. Coordinate mail, deliveries, and courier services. Assists with Raving Fan opportunities by practicing intentional listening and documenting in CRM. Client Services
Manage several Advisors calendars by scheduling client meetings and reviews. Assist with scanning, filing, and organizing of client statements, paperwork, CRM system and reports. Manages process for prospective clients, coordinating directly with Advisors to ensure smooth onboarding with scheduling, welcome kits and gifts. Resolves standard client issues with ease including, but not limited to, address changes, sending and receiving client deposits and withdrawals, beneficiary changes, tax documents and client account access. Supports internal initiatives including seasonal projects (e.g., tax prep, year-end communications), and cross-departmental process improvements. Respond to emails, answer phones and communicate in a prompt, courteous, and helpful manner. Assists with other administrative tasks as needed. Protects clients' rights by maintaining confidentiality of personal and financial information. Performs tasks in a manner that displays a commitment to excellence, best practices, compassionate and superior customer service with every client and co-worker. Performs all duties with utmost integrity. Performs other duties as required. The ideal candidate will have:
A Bachelor's degree (preferred). Has 2 years of administrative experience in a fast-paced, client-focused environment. Possesses excellent written and verbal communication skills. Is highly organized, with keen attention to detail and the ability to juggle multiple priorities. Demonstrates strong computer skills, including proficiency in Microsoft Office. Values collaboration and is eager to contribute to a dynamic and inclusive culture. Compensation and Benefits:
We offer a competitive salary, ranging from $45,000 to $50,000 per year based on experience. Our benefits package includes:
