This position is responsible for preparing and formatting essential documents, scheduling calendars, training materials, and reports to ensure smooth coordination across monitoring activities. The Administrative Support Specialist maintains accurate digital and physical filing systems for reviewer documentation and administrative records, and supports the onboarding process by preparing offer letters, orientation materials, and access credentials. This role also manages communications to reviewer pools regarding training, deployment, and logistical updates. Additionally, the Administrative Support Specialist schedules internal and cross-agency meetings, prepares agendas, records meeting minutes, and distributes follow-up actions to ensure alignment and accountability. How You Contribute to the Team: Clerical Support Prepare and format documents, scheduling calendars, training materials, and reports in support of the Monitoring Logistics Team. Maintain accurate digital and physical filing systems for reviewer documents, correspondence, and administrative records. Reviewer Coordination Assist with reviewer onboarding by preparing offer letters, orientation packets, and access credentials. Coordinate communication to reviewer pools regarding training, deployment, or logistical updates. Meeting and Communication Support Schedule internal and cross-agency meetings; prepare agendas, take meeting minutes, and distribute follow-ups as needed. Perform these and other reasonable tasks as assigned by management in support of BCT’s goals and objectives. What You Bring to the Table: As no individual candidate meets every qualification, we encourage candidates who meet most of these requirements to apply! Educational Requirements: High School diploma or equivalent Experience Requirements 3 years professional experience in a role performing administrative support tasks such as preparing and formatting documents, managing and using email, calendars/schedules, managing documents/records, performing basic internet research using search engines and the like. Experience working with government contracting, and federal travel or per diem compliance is highly preferred. Experience with travel planning applications (e.g., Concur) is a plus. Skills and Expertise: Strong attention to detail with a track record of producing high quality documents, reports and other materials Exceptional organizational and recordkeeping skills Accurate data entry and reconciliation abilities Familiarity with systems such as QuickBooks, Concur, Deltek or Unanet is desired Familiarity with government contracting rules, audits, and compliance is a plus Ability to adapt quickly to new applications Able to meet job requirements while working in a remote work environment Communication Skills: Proven ability to effectively communicate to various audiences when speaking and in writing. Must be able to communicate, collaborate and interact with colleagues in a remote work environment; must participate in virtual meetings, appear on camera as needed, and contribute to meeting content as required. Highly skilled with computer, Internet, and Microsoft Office (Outlook, Word, Excel, and PowerPoint); experience with SharePoint and Monday.com desirable. Highly skilled with video meetings/conferencing (e.g., Zoom, Adobe, MS Teams). Ability to adapt quickly to new applications. There are multiple factors considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align with the specified role, geographic location, education as well as contract provisions regarding labor categories that are specific to the position. BCT offers a competitive total compensation package that, for this position, includes a base salary between $26.45 and $28.85 per hour along with a generous benefits package. This is a remote position located in the fifty United States or Washington, DC. This Project Head Start (HS) is a national program that provides comprehensive child development services, primarily to low-income children and their families, and includes Early Head Start (EHS), Migrant and Seasonal Head Start (MSHS) as well as American Indian/Alaska Native (AIAN) programs. The Head Start program is administered by the Office of Head Start (OHS), Administration for Children and Families (ACF), Department of Health and Human Services (HHS). The Head Start Act and OHS require periodic monitoring and review of all federally funded Head Start programs to ensure adherence to Head Start Program Performance Standards (HSPPS) and regulations. This project is responsible for the monitor review scheduling, team deployment and management, travel planning and logistics, content area expertise, conducting reviews and monitoring report drafting.
