Tuvli, an Akima company, is hiring for an OMS/Administrative Assistant to support our DoS client located in Washington, DC.
Responsibilities
Receive, schedule, and refer calls and visitors from the public and agency personnel. Handle requests for office staff and refer complex requests to appropriate personnel. Schedule appointments and coordinate meetings and events.
Respond to administrative issues raised by staff or management, and independently resolve issues within scope. Prepare responses to inquiries, manage telephonic inquiries, and update websites with basic information.
Maintain calendars for the Director and Deputy Directors, prioritize obligations, and arrange meetings. Prepare supporting documents and compile files for discussions.
Prepare travel authorizations, itineraries, and expense estimates. Facilitate travel arrangements using E2 Solutions and ensure timely submission of travel documents and reimbursements.
Execute small projects, organize large meetings/events, and complete related tasks independently.
Develop and maintain contacts across offices to facilitate meetings and problem-solving.
Order office supplies via ILMS website.
Serve as the timekeeper for the office, maintain Time and Attendance records, verify hours, and advise supervisors of discrepancies.
Assist with supply management and procurement processes.
Process all correspondence, including letters and memos. Prepare reports, memoranda, and other written communications. Draft and edit letters and reports, and prepare public presentation outlines as needed.
Review work products for completeness, formatting, and policy compliance. Maintain a file of correspondence and events in the supervisor's absence.
Work with classified and unclassified computer systems, demonstrating proficiency in Excel, Windows, and related programs. Prepare emails, notices, and reports from scratch.
Work effectively under pressure and tight deadlines. Engage proactively with colleagues to accomplish work requirements.
Maintain office files, both electronic and hardcopy, as required.
Qualifications
Knowledge of Department of State operations, both domestic and overseas.
Understanding of regional bureau management processes.
Experience as a secretary or office manager under pressure.
Familiarity with data sharing systems like SharePoint.
Proficiency with personal computers, especially Excel, Windows, PowerPoint, and related programs. Ability to draft emails, notices, and reports independently.
Active Secret clearance.
