Summary

The Manager of Advancement Events & Engagement supports Marist School’s mission by fostering meaningful connections and engagement with alumni, parents of alumni, current parents, Board of Trustee members, and friends of Marist School through strategic engagement and event planning. Reporting jointly to the Director of Alumni & Community Engagement and the Director of Annual Giving, this position manages day-to-day alumni engagement operations, oversees the planning and execution of a wide range of alumni and development meetings and events, coordinates volunteers, and ensures seamless collaboration across the Office for Institutional Advancement.

Duties And Responsibilities

Alumni Engagement:

Provide administrative support to the Alumni Office, including coordinating with the Alumni Chaplain and families regarding prayer requests, supporting the Director of Alumni & Community Engagement, responding to alumni inquiries, and managing other daily tasks as needed. Work closely with the Director of Alumni & Community Engagement to develop and implement strategies aimed at increasing engagement among alumni and parents of alumni. Support the Director of Alumni & Community Engagement in advancing strategic initiatives, including the Career Connections program, alumni affinity groups, and additional campus involvement opportunities. Partner with the Communications Team on alumni content for the school magazine, monthly electronic newsletters, and social media. Provide support to the Advancement Services Team by taking primary responsibility for updating alumni and parent of alumni contact information in Raiser's Edge and Veracross, as well as managing invitation lists, RSVP tracking, attendance, and follow-up communications. Provide support in planning meetings for the Alumni Board and its committees, while serving as the primary liaison with the Special Events Committee to coordinate event volunteers. Serve as a welcoming office greeter during business hours, helping to create a warm and professional first impression for all visitors, alumni, and guests.

Event Management

Plan, coordinate, and execute a wide range of events for both alumni and development initiatives, including but not limited to: Homecoming, St. Peter Chanel Recognition Celebration, Alumni Weekend, the Generations Welcome Back Tailgate, Alumni Awards Luncheon, Marist Light Up the Night, cultivation dinners, donor receptions, stewardship gatherings, and annual giving initiatives. Work with the School Calendar Coordinator to maintain accurate scheduling and implement updates as needed throughout the year. Manage all event logistics including vendor coordination, catering, audiovisual needs, room setup, décor, signage, printed materials, and promotional collateral. Track invitations, RSVPs, and attendance; generate accurate and timely post-event reports. Collaborate with the Advancement Services Team to request invitation lists, manage event data accurately, and update constituent records in Raiser’s Edge. Partner with the Communications Team to produce and distribute event invitations, signage, photography shot lists, and follow-up communications. Liaise with the Office of the President, Office of the Principal, and Vice President for Institutional Advancement to ensure leadership has necessary event preparation materials, including run-of-show documents, briefings, scripts, and speaking points. Assist with special projects and other duties as assigned to support the overall success of the Office for Institutional Advancement.

Education, Experience & Skills

Bachelor’s degree required. 3-5 years of relevant experience in alumni engagement, event planning, or fundraising in an educational or nonprofit setting preferred. Proven ability to manage multiple projects simultaneously and meet deadlines. Strong interpersonal, written, and verbal communication skills. Demonstrated experience in volunteer management and event coordination. Collaborative spirit with the ability to build relationships across diverse constituencies. Proficiency in Microsoft Office and Google Workspace; familiarity with Raiser’s Edge and Canva is a plus. Ability and commitment to work evenings and weekends as required to support event schedules.
