What is an Office Assistant?
This job offers a variety of tasks with a focus on the organization as a whole and running of daily administration operations of the company. The primary Office Assistant responsibility is to support the property management, construction and development staff and real estate brokerage team. This role takes a hard-working individual able to undertake a variety of office support tasks and work diligently under pressure with an ability to multi-task.
Office Assistant Roles & Responsibilities Organize office and assist co-workers in ways that optimize procedures Sort and distribute communications in a timely manner Verify and update records to ensure accuracy and validity Monitor level of supplies and handle ordering and stocking Resolve office-related malfunctions and respond to requests or issues Coordinate with other departments to ensure compliance with established procedures and policies Maintain positive relationships with vendors, residents and colleagues
Day-to-Day Duties & Expectations Greeting visitors Answering phones Replying to emails Assisting customers and vendors with questions, comments, concerns, apartment availability Opening and delivering mail Maintain scanning and filing Assist with security deposit refunds Order and keep office and kitchen supplies stocked Verify and audit all lease paperwork Maintain organization of the office and kitchen Assist off site staff when needed Copy and print documents Help owners, VPs, directors, accounting, marketing and construction staff as needed. Assist Human Resources with planning and executing social events. Billback utilities to residents weekly Order on-site floor plans and amenity sheets Update and maintain Certificate of Liability and all compliance for vendors Assist with entering invoices Enter fixed assets in Entrata software Send Fixed Asset report as requested Assist in entering maintenance work orders Perform admin tasks for Real Estate Brokerage (directed by Managing Broker). Perform work in a time efficient manner with strong organization and follow through Proficient in Office 365, administrative basics, and learning new software. Problem solving Logistical brainstorming on how to incorporate new efficiencies and organization Integrity and confidentiality Excellent verbal and written communication skills Maintain a professional demeanor with co-workers and clients Accuracy and attention to detail Preferred minimum 1-year experience in administrative role High school diploma or equivalent education
