The ideal candidate will possess a high school diploma, with additional coursework or an associate degree in business, finance, or accounting preferred. A strong understanding of accounting principles, payroll processing, and data entry is required. Proficiency with office software and accounting systems, along with excellent attention to detail, is essential. The ability to communicate effectively with coworkers, school-based staff, and vendors, as well as to work under pressure and meet tight deadlines, is critical for success in this role.

DESCRIPTION

The Finance Clerk performs a variety of specialized accounting and clerical duties related to division-wide payroll and financial operations. This full-performance role supports centralized processing and financial reporting in accordance with federal, state, and district guidelines. Responsibilities include maintaining accurate payroll records, processing employee benefits updates, assisting with reimbursements, and supporting other financial functions as needed. The position plays an integral part in ensuring accurate and timely payroll and financial services to all employees and stakeholders of the school division.

GENERAL DUTIES (May not include all duties performed) Process and maintain payroll records, including new hires, resignations, salary adjustments, bonuses, overtime, and deductions. Administer retiree health and dental enrollment changes and long-term care insurance enrollments.Complete and submit grant reimbursement requests. Prepare and reconcile special payments, such as stipends and supplements. Reconcile payroll deductions with insurance billings to ensure accuracy before payment. Process health insurance credits. Assist with bank deposits and other clerical accounting functions. Utilize accounting software, spreadsheets, and word processing programs for data entry, documentation, and reporting. Respond to inquiries from employees regarding payroll, insurance, and other financial matters. Perform administrative and secretarial support duties for the Director of Finance and the Finance Coordinator as needed. Operate standard office equipment, including computers, printers, copiers, and calculators. Maintain organized financial and payroll documentation and follow established internal procedures and state regulations. Perform other related duties as assigned.

SUPERVISION

This position operates under the general supervision of the Director of Finance. The Finance Clerk does not supervise other staff.

WORK CONDITIONS

The Finance Clerk works in a typical office setting with frequent use of computers and standard office equipment. The role requires extended periods of sitting, data entry, and visual focus. The position involves frequent deadlines and interruptions, requiring attention to detail and strong time management skills. The work occasionally involves bending, stooping, and reaching to access files and materials. The employee is expected to maintain a high level of accuracy and confidentiality in handling sensitive payroll and financial information.
