Sr Administrative Assistant

The Sr Administrative Assistant will perform a range of tasks to provide clerical support and office management duties for the Engineering Department and other departments as assigned. Major responsibilities will include making travel arrangements, coordinating senior management calendar(s) and proofreading correspondence from senior managers and staff. This person may interface with senior levels of the organization, as well as some external customers. The Sr Administrative Assistant will use sound judgment, manage priorities and operate within the procedures established in the department. Responsibilities & Tasks: Manage schedules and calendars for others as assigned Coordinate both off and on-site events Create, process and follow up on visit requests and contact reports Make both domestic and international travel arrangements per travel policies Coordinate with international counterparts regarding travel and meetings Prepare expense reports for others as assigned Provide support/back-up assistance to cover other Executive and Administrative Assistants when they are out of the office Must be able to generate email, letters, memos, or other communications for managers, VP's, Directors, Managers, and staff employees Coordinate new employee onboarding by setting up designated work area, obtaining supplies and providing guidance on department processes. Coordinate/drive dispositions and clearing out of vacated cubes with appropriate manager Attend staff meetings, take/publish minutes. Responsible for organizing presentations, reports and meetings as assigned File, maintain and retrieve corporate documents, records, artifacts and reports as required Process corporate invoices for Accounts Payable as assigned Order office supplies for department Arrange and support video teleconference meetings including the set-up of presentations, printing of materials, and supporting any technical issues Prepare non-MRP requisitions and change requisitions for program and non-program requirements Provide day to day administration, organization, coordination and planning support as required Assist with the budget preparation and monthly monitoring Will use good judgment in completing activities and operate under limited supervision Will use MS Office suite applications; to include PowerPoint presentations, Excel and Word May use judgment and discretion to modify work practices and processes to achieve results or improve efficiency Likely to act as an informal resource for colleagues with less experience Provides solutions to problems in situations that are atypical or infrequently occurring based on practice and existing precedents/procedures. Other related duties as assigned by Manager or Director Qualifications Education: Associate's degree required in related discipline Bachelor's Preferred Experience Required: 5 years' experience in the administrative support field in a professional environment with full proficiency gained through on-the-job training to perform a range of tasks. Experience working with technical and/or engineering organizations is preferred Knowledge, Skills, Abilities Required: Must handle sensitive and confidential information and matters with discretion Strong written and verbal communication skills; collaborates well with other team members Ability to explain detailed and/or complicated information within their team Strong organizational skills Proficiency in MS Office applications including PowerPoint presentations, Excel and Word Must be able to generate letters, memos, etc. Maintain Director and Senior Management calendar(s). Make travel arrangements and submit expense reports. Experience using Concur is a plus. Creativity and strong problem-solving skills. Strong task and time management skills, with the ability to prioritize tasks. Ability to handle multiple tasks and projects with accuracy Self-motivated, dependable, highly organized and accurate.
