Project Coordinator

The Project Coordinator plays a vital role in supporting the successful execution of commercial construction projects from pre-construction through closeout. This individual will work closely with project managers, field teams, subcontractors, and clients to ensure effective documentation, scheduling, communication, and coordination. The ideal candidate is organized, detail-oriented, proactive, and experienced in the fast-paced commercial construction environment. Project Coordination & Documentation: - Manage and maintain all project documentation including contracts, subcontracts, RFIs, submittals, change orders, meeting minutes, and punch lists. - Assist in setting up new projects in internal systems and project management platforms. - Track and log RFIs, submittals, and approvals through to completion. - Support permit application and closeout processes with jurisdictions and clients. Communication & Coordination: - Serve as a liaison between internal teams (project managers, superintendents) and external partners (subcontractors, vendors, clients). - Schedule and coordinate project meetings; prepare and distribute agendas and minutes. - Follow up with subcontractors on required documentation (e.g., COIs, lien waivers, safety plans). Procurement & Scheduling: - Coordinate procurement and delivery of materials with vendors and suppliers. - Assist with creating and updating project schedules, ensuring deadlines are met. - Monitor project progress and flag potential delays or issues to project managers. Systems & Tool Management: - Utilize software tools such as Procore, Bluebeam, Buildertrend, Smartsheet, or similar platforms to manage workflows. - Maintain up-to-date project files on internal servers and/or cloud-based systems. - Generate reports and status updates as requested by project managers or leadership. Compliance: - Ensure subcontractor compliance with contractual requirements and safety documentation. - Support the punch list and closeout processes by gathering all final submittals, warranties, and as-built documentation. - Archive final project files in accordance with company procedures. Entry Level The pay range for this position is $32.00 - $41.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
