About the Role
Performs intermediate level clerical work for department under general supervision which may include: general office functions, basic correspondence, filing, data entry, answering phone calls, managing appointments, creating reports, editing or proofing documents or outgoing communication. May be asked to fulfill clinical responsibilities as defined in the Medical Office Assistant scope of practice. Minimum Job Qualifications
Licensure or other certifications: None Educational Requirements: High School Diploma Minimum Experience: Must have data entry and computer experience. Three (3) - five (5) years of clerical experience Other: Must pass MOA skills test Preferred Job Qualifications
Preferred Licensure or other certifications: Certified MA Preferred Educational Requirements: None Preferred Experience: Experience in healthcare and medical terminology Other: None Job Specific and Unique Knowledge, Skills and Abilities
Above average computer knowledge (Microsoft products) may include using excel workbooks/formulas, Microsoft tables formatting, etc. Provides support for a large department with steady/constant customer or patient flow/volumes. May provide support for several management/supervisory staff to include department head. Excellent communication skills. Ability to communicate well with employees of all educational and socioeconomic levels. Foreign language a plus. Knowledge of medical practices, terminology, and financial operations. Excellent customer service skills Typing skills (45-60wpm). Knowledge of and proficient use of Electronic Medical Records system. Essential Tasks and Responsibilities
Prepares correspondence and recurring reports with some direction. Prepares operational reports from computer programs in Occupational Health that are designed to demonstrate department productivity and operational efficiency. Arranges conferences, and meetings. May be responsible for preparing the agenda, taking notes and distributing minutes of these meetings. Coordinates office functions internally and with other departments or outside agencies. Maintains control of department employee files ensuring DNV compliance. Receives and resolves customer complaints through use of excellent verbal and written communication. Manages email and calendar of department head (may have proxy to several mailboxes and calendars for managing). Manages department calendar to ensure effective and efficient operations of all clinics. Receives and screens office visits and telephone calls, may handle calls if knowledgeable on the subject of discussion. Processes purchase requisitions or check requests from/to Accounting. May be required to perform the duties of a medical assistant within the medical assistant scope of practice during peak times of clinical demand on department. Assist the Director of Occupational Health with projects and other duties as assigned. Physical Demands
