The Financial Aid Assistant Director is responsible for supporting the administration of financial aid programs with a strong focus on business analysis and compliance. This role involves analyzing financial aid processes, ensuring adherence to regulations, and implementing improvements to enhance efficiency and effectiveness. The Assistant Director will work closely with the Senior Director of Financial Aid and Veteran Services to provide exceptional support to students and maintain compliance with federal, state, and institutional policies. Financial Aid Database Management Monitor ERP product release updates to coordinate and implement system updates with IT, ensuring system functionality and processes are compliant with federal regulations. Completes Annual Financial Aid setup. Ensure student data remains clean and up to date. Coordinates with offsite colleagues on projects to enhance system efficiency and effectiveness. Records Database Management Oversee the financial aid functions within the college's records management database. Monitor the processing time frame of incoming documents ensuring files are processed accurately and in a timely manner all while maintaining effective communication to facilitate smooth operations. Quality Assurance Conduct monthly audits of financial aid files to: Ensure accuracy and completeness. Verify student eligibility for federal and state aid programs in compliance with federal, state, and institutional regulations and guidelines. Ensure data entries are consistent and accurate. Implement data validation procedures to prevent errors and discrepancies. Develop and implement quality control measures to strengthen and strengthen operations, improving efficiency. Reporting and Data Analysis Analyze report data from COD import and resolve COD errors, resubmitted files to COD for origination and/or processing. Manage the Transfer Transcript process Review NSLDS and COD data ensuring a student has not received aid at more than one institution in the same awarding semester. Analyze enrollment and tuition report data from the ERP and update the student award to reflect the correct award amounts. File Review and Processing Workflow Management Financial Aid Verification State Aid Awarding File Packaging State Aid Appeal Processes Award adjustments due to withdrawals and/or R2T4 processing. Transmittal process of awarded aid on the determined schedule. Reconciliation of Federal and State Aid Monitors the awarding of state aid programs and completes reconciliation of state aid funds monthly. Completes the monthly process to reconcile federal aid. Distributes work study and tribal reports to advisors for reconciling assistance. Compliance Management Monitors NASFAA and updates staff with changes to federal requirements to ensure compliance to ensure compliance for federal aid administration. Monitors the New Mexico Higher Education Department and updates staff with changes to state requirements to ensure compliance for state aid administration. Policy, Procedures, and Process Improvement Assists staff with financial aid policies and procedures. Assists in the development and implementation of policies and procedures. Conduct detailed analysis of financial aid and processes to identify areas for improvement. Develop and implement strategies to optimize operations and enhance service delivery. Student Support Advises students and families regarding financial aid policies and procedures. Provide guidance and support to students regarding financial aid applications, eligibility, and awards. Address complex issues and resolve disputes in a timely manner. Training and Development Attend financial aid training, seminars, and workshops. Train staff on compliance requirements and best practices in financial aid. Collaborate with the Veteran Services Coordinator to cross-train staff on veteran benefits administration. Develop training materials and conduct workshops. Designs and implements a financial aid workshop series. Conducts financial aid presentations for community members. Collaboration Serves on assigned college committees. Work closely with other departments, such as Admissions and Registrar, to ensure seamless integration of financial aid processes with overall student services. Audit Preparation Prepare for and participate in audits conducted by federal and state agencies. Outreach and Education Organize workshops and informational sessions on Federal Aid. Other Related Duties Support the Senior Director of Financial Aid and Veteran Services in their absence. Support yearly form creation. Participate in the Department of Education Import process as needed Assist Veterans SCO with registration certification and eligibility review. Directs the maintenance of the department website. Qualifications Knowledge and competency typically acquired through the completion of a Bachelor's degree in a relevant field such as Business Administration, Public Administration, Finance, Higher Education Administration, or related discipline. A Master's degree in a similar course of study is strongly desired. Minimum of three to five years of financial aid administration, with a focus on business analysis and compliance. focused on compliance, business analysis, and managing

Minimum of three to five years of experience, providing a comprehensive understanding of the diverse objectives and functions within the division/department, enabling effective direction and coordination of work.
