Administrative Coordinator

Compensation: $20.64 per hour Non-Exempt Employment Type: Regular Grade: NE09 Position Summary:

This position is responsible for coordinating the administrative operations of the School of Energy and for providing administrative support to the Dean. Major Duties: Interacts with college administrators, department heads, faculty, and other employees to complete work assignments, exchange information, provide services and resolve problems; serves on college committees and participates in professional development opportunities; tracks and follows-up with other departments to ensure tasks are completed; identifies processes and systems to implement administrative best practices. Coordinates the annual budget process for the school; monitors and reconciles expenditures; oversees expenditures of grants and contracts and maintains related records; monitors all departmental budgets. Performs a variety of clerical and office management duties; processes confidential materials; answers telephone and greets visitors; schedules appointments for the Dean; accepts payments; prepares agendas for meetings, coordinates meetings, and transcribes minutes; develops forms, spreadsheets, tables and lists; maintains hard copy and electronic files. Coordinates with lead instructors to develop course schedules; monitors schedule changes throughout the semester. Makes travel arrangements for faculty and staff; processes travel reimbursements. Processes personnel transaction forms for adjunct faculty; coordinates and orients new adjuncts; assigns adjunct offices and mailboxes. Prepares purchase requisitions; purchases office supplies; prepares reconciliations of purchase card statements. Markets the School of Energy with regular social media posts. Interviews and oversees student workers. Processes textbook orders. Coordinates the repair and maintenance of building and equipment; prepares work orders as needed. Assists in the maintenance of accreditation records and in the preparation of accreditation reports. Manages scheduling of classes and other events at the School of Energy building; collaborates with users as needed to arrange catering, security, maintenance, and IT support. Performs related duties. Knowledge Required by the Position: Knowledge of modern office practices and procedures. Knowledge of computers and job-related software programs. Knowledge of budget management principles. Knowledge of college policies and procedures. Skill in prioritizing and organizing work. Skill in customer service and community relations. Skill in conducting research and preparing reports. Skill in troubleshooting and maintaining office equipment. Skill in managing time and determining priorities. Skill in oral and written communication. Skill in providing assistance to students. Supervisory Controls:

The Dean assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy and the nature and propriety of the final results. Guidelines:

Guidelines include staff, faculty and student handbooks and college policies and procedures. These guidelines require judgment, selection and interpretation in application. Complexity/Scope of Work:

The work consists of varied administrative duties. Frequent interruptions contribute to the complexity of the position. The purpose of this position is to provide administrative support for the operations of an assigned school. Successful performance contributes to the efficiency and effectiveness of those operations. Contacts are typically with co-workers, other college employees, students, and the general public. Contacts are typically to give or exchange information, resolve problems, and provide services. Physical Demands/Work Environment:

The work is typically performed while sitting at a desk or table or while intermittently sitting, standing or stooping. The employee occasionally lifts light objects. The work is typically performed in an office. Supervisory and Management Responsibility:

This position has direct supervision over assigned personnel and supervises assigned student workers. Minimum Qualifications: Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with an Associates Degree. Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with three years' experience or service.
