Administrative Assistant
Provide high-level administrative assistance to major gift officers representing the schools, colleges, and constituent units within University Advancement. Review, prioritize, and resolve incoming requests and complete ongoing daily and long-term projects on behalf of development professionals in support of the division's fundraising efforts and priorities. Position-Specific Responsibilities/Accountabilities
Provide administrative support to major gift officers by making appointments and managing schedules, preparing written correspondence, running reports, etc.; responding to and relaying telephone communications; responding to incoming correspondence; creating and maintaining templates, spreadsheets, briefings, meeting notes, mailing lists, expense reports, and filing systems, and other general administrative duties. (30%) Assist with the management of prospects; including using the development database/CRM to enter actions, type and enter contact reports and next steps, and print reports. Maintain specialized and confidential prospect and donor giving information and assist with production and distribution of proposals and other solicitation pieces. (30%) Serve as the department liaison to work with departments across the division to request lists and research, as well as logistic coordination for cultivation events that support fundraising efforts, inclusive of various Board and/or Council meetings, and seminars. Assist with invitation creation and distribution, managing RSVPs, and ensuring appropriate event set up. (20%) Collaborate with the other administrative support staff in UA in support of the major gift officers and their respective Deans' and Directors' fundraising goals and priorities. Typically, a Bachelor's degree in a related field or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of trends and technology. Minimum four years of administrative support experience in progressively responsible positions. Seeking professionals with varied backgrounds, abilities, experience, thoughts, and ideas. Proven ability to multi-task, effectively manage deadlines and overlapping priorities. Excellent communication skills that can be utilized in communication with internal and external constituents. Commitment to confidentiality as it relates to sensitive information regarding donors and prospects. Knowledge of, and competence with, web-based and application-based work. Demonstrated computer competency and strong working knowledgeable of Word, Excel, PowerPoint, and Outlook. Knowledge of the database and CRM systems are preferred. Ability to learn new systems. Experience with Smartsheet, Workday and graphic design are a plus. Reasonable Expected Salary: $25.00 - $26.92/hour Salary offer commensurate with education and experience. Staff Term (Fixed Term) Salary range $25.19 - $31.49 Salary commensurate with education and experience.
