The Molecular Laboratory Office Assistant is responsible for working closely with the Molecular Laboratory Manager, Outreach Department and Molecular Technologists to ensure all tests are accessioned, ordered and reported in a timely manner. Responsible for specimen inventory and sample management programs within the Molecular Laboratory. Works in conjunction with the Pathology Coordinator Liaison as a point of contact for clinic and Molecular Laboratory department staff regarding questions concerning testing and specimen availability. Responsible for accessioning blocks received, requesting Histology processing, ordering testing, tracking order progress, preparing specimens for send-out and returning blocks to pathology laboratories. Essential Functions: Serves as first level of specimen receipt and accessioning for the Molecular Laboratory Receives, directs, and orders specimens for in-house testing. Receives and directs specimens for send-out testing. Manages specimen returns within the established guidelines and pulls and files slides/blocks as needed. Ensures that specimens are requested for Histology processing in a timely manner. Verifies that specimen information is accurate. Follows proper guidelines for safe handling of blood, body fluids and hazardous chemicals. Maintains proper records of laboratory testing and results as described in the policy and procedures manual. Performs sample and test management in Genosity, Copia, OncoEMR, eslide manager and Molecular Department worksheets. Adheres to CLIA compliance requirements. Ability to read, analyze and report clinical elements on cases that are required for pathology testing. Maintain sufficient inventory of laboratory and/or supplies for daily operations. Understands the billing process and updates the laboratory worksheets as testing is approved. Interacts with Molecular laboratory and Outreach staff on an ongoing basis to communicate specimens received, insurance authorization updates and order progress. Works closely with the laboratory authorization team to verify correct diagnosis codes and insurance authorization progress. Tracks MD Return appointments for orders and escalates testing delays to the Pathology Coordinator Liaison. Maintains specimen tracking logs and monitors testing progress. Perform advanced specimen ordering and clerical functions. Perform receiving, record keeping, accessioning, processing, and transporting of specimens Conduct materials management duties, orders add on tests, audits pending logs, and resolves duplicate or incorrect orders under the guidance of the Molecular Laboratory Manager. Perform client service duties; registration, billing-related functions, training and guidance. Works closely with the Molecular Technical Director, Molecular Laboratory Manager and Pathology Coordinator Liaison to ensure testing is completed in a timely manner. May perform daily tasks without on-site supervision. Perform other duties as assigned by the Molecular Laboratory management. Knowledge, Skills & Abilities: Excellent telephone and email etiquette with outstanding customer service skills. Highly organized with ability to multi-task across various programs and workflows. Detail orientation and communication/listening skills. Ability to consistently perform detail-oriented tasks with precision and accuracy. Highly developed computer skills with experience in Office Suite, Laboratory LIS, and Windows OS. Strong decision making and analytical abilities. Understanding of laboratory practices and workflows. Knowledgeable in insurance authorization process and ability to coordinate testing requests with the laboratory authorization team. Interpersonal skills to successfully interact with all co-workers, laboratory customers and providers. Excellent communication skills and with focus on professionalism. Proficiency in mediating multiple parties and factors to collaborative outcome. Understanding of laboratory pending lists with ability to track orders within specified time frames. Able to work with reference labs regarding specimens not received, sent improperly, lost specimens and other issues that arise. Required Education and Experience: 1+ year experience working in a clinic/medical/laboratory setting. 1+ year experience accessioning clinical specimens. Must possess understanding of pathology processes including path reports and materials requests. Knowledge of molecular testing and workflow experience preferred.
