Executive Assistant- Surgical

The Executive Assistant will provide high-level administrative support to the President & General Manager of the Surgical Business Unit and the Vice President of Sales. The successful Executive Assistant will assist in the management of Surgical communications, executive calendar management, email management, functional meeting and event planning, and travel arrangements both domestic and international. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. You will showcase your world-class relationship skills as you interact with both internal and external stakeholders and exercise your aptitude for strategy as a trusted advisor and administrator to the President & General Manager, Surgical.

Own calendaring, scheduling, basic correspondence, functional event planning, organizing multi-site meetings and staff meetings, including meeting minutes and preparation of materials.

Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of organizational objectives.

Email management, communication through writing and editing emails, drafting documents and preparing communications on behalf of the Surgical leadership team.

Maintain action items for leadership team meetings, ensure deadlines are met and maintain comprehensive and accurate records, documents, and reports.

Act as a liaison between leadership and their direct reports to share information, instructions, and assignments; and follow up on status of assignments to leadership team members or other stakeholders

Manage domestic and foreign travel arrangements, prepare itineraries, prepare and compile travel vouchers, and maintain all travel records.

Handle basic administrative tasks such as invoices, expense reports, and PTO approvals on behalf of the President & General Manager, Surgical and the Vice President of Sales.

Create/process documents, spreadsheets and reports by collecting and analyzing information maintaining confidentiality at all times.

Partner with Human Resources and business unit sales leaders to onboard and offboard employees within the sales organization.

Other duties as assigned. Bachelor's degree preferred

5+ years of related experience in an Executive Assistant role is preferred

Administrative certification such as PACE or CAP preferred Excellent communication skills (interpersonal, verbal, and written)

Ability to understand the importance of and maintain highly confidential information

Expert knowledge of Microsoft Office and Adobe Acrobat with an emphasis on Excel, Outlook and PowerPoint

Ability to maintain composure during stressful situations

Ability to efficiently handle multiple tasks requiring a high degree of attention to detail

Ability to perform duties with initiative and exercise sound judgment

Ability to recognize problems, make recommendations and in some cases, independently resolve and implement solutions

Minimum in-office presence of 3-days per week. This is subject to change and based on in-office presence of the President and Vice President.
