Academic Assistant

The Department of Medical Sciences is seeking an enthusiastic individual with strong communication skills and meticulous attention to detail to join their team. Reporting to the Assistant Director of Operations, the Academic Assistant performs a variety of more complex duties to prepare, process, maintain and provide information regarding student academic records/reports/databases and support general University operations. This individual will independently perform academic and operational duties for the Physician Assistant program to ensure smooth and efficient planning for academic courses throughout the year. Activities typically include scheduling/calendar management, records administration, coordinating events and responding to inquiries by telephone, email and in-person interactions. The Academic Assistant serves as the primary contact for guest lecturers and will collect and manage lecturer and instructor documents. The Academic Assistant will also be responsible for tracking and managing relevant budgets; tracking and ordering laboratory, classroom, and office supplies; collaborating with college academic advisors, program coordinators, in relation to leave of absences, registration issues, and student record changes; data gathering, tracking, and reporting. The Academic Assistant will support the Assistant Director of Operations with the admissions cycle for the Physician Assistant program. This will include but is not limited to scheduling and coordinating applicant interviews, responding to applicant inquiries, notifying students of application status, etc. The Academic Assistant will be involved with some event coordination and other special projects as needed. This individual will also hire and assist with supervising work study students. Qualifications Knowledge/advanced proficiency in MS Word, Excel, Power Point and Outlook along with experience in website administration; ability to access and enter/retrieve information from proprietary systems and other applications with accuracy and speed.

Familiarity with student information systems, proficiency utilizing different computer programs (including ACD Telephone System, Salesforce, Microsoft Office, Outlook, Adobe Acrobat, etc.) preferred.

Knowledge and skills typically acquired through an associate degree (or equivalent) and at least three years of experience.
