Salary Range:
$49,094 - $56,220 annually. Compensation will be commensurate upon experience and qualifications. This position is Exempt from the Fair Labor Standards Act (FLSA) overtime provisions.

Typical hours are Monday-Friday, 8:00 a.m.-5:00 p.m., with required evening and weekend shifts to support staff and participants. Vacation is not permitted the week prior to and the first week of each fall and spring semester.

Summary
The Program Coordinator of Facility and Guest Experience supports the administration and supervision of a comprehensive facility operations portfolio for Campus Recreation. This includes oversight of rentals, facility development, organization, maintenance, and daily operations. A key focus of this role is enhancing the guest experience by prioritizing guest services, delivering exceptional customer service, and fostering meaningful member engagement.
Campus Recreation facilities are designed to promote wellness, leadership development, and a strong sense of community through drop-in and open recreation opportunities. This position reports to the Assistant Director of Facility Operations and shares oversight of 30-35 student employees. The program supports over 125,000 annual entries, generates approximately $25,000 in access pass revenue, facilitates 200+ rentals exceeding $75,000 annually, and collaborates with campus partners to support student retention and success.
The Program Coordinator contributes to the development, implementation, and assessment of short- and long-term goals for Facility Operations. This includes strategic planning, budget management, policy and procedure development, facility scheduling, equipment lifecycle planning, risk management, and program evaluation. The successful candidate will foster an inclusive environment, apply evidence-based decision-making, and support student learning and development in alignment with the department's mission and values.
Essential Functions
Leadership and Program Management
Assists in managing, supervising, and evaluating a comprehensive facility operations program that supports healthy behaviors and well-being through open recreation spaces and activities.
Assists with the facility rental process, including reservation intake, communication, scheduling, staffing, setup/cleanup, billing, and on-site coordination.
Supervises and evaluates guest services desk operations, including staffing, access control, membership and program registration, equipment checkout, locker rentals, and recreational management software administration.
Oversees and evaluates fitness center operations, including staffing, customer experience, cleaning protocols, equipment inspections, and risk assessments.
Designs, implements, and evaluates informal/open recreation opportunities that support student engagement and development.
Maintains inventory of facility operations equipment and supplies.
Assists with building systems and access management, including Fusion software, door access, security cameras, lighting detection, and PA systems.
Coordinates maintenance and custodial work orders for Campus Recreation facilities.
Develops and maintains semester/annual facility schedules, including informal and open recreation activities, rentals, and special events.
Collaborates with department staff to coordinate operational hours, maintenance needs, space reservations, and facility access.
Partners with the Membership and Marketing team to update web content and promote facility access, memberships, rentals, and recreation opportunities.
Collaborates with campus partners (e.g., Event Services, ROTC, Wellness, Student Life, Residence Life, Health Sciences, Athletics, etc.) to support shared facility use and student success initiatives.
Personnel Management and Student Development
Recruits, hires, trains, supervises, mentors, and evaluates 30-35 student employees, including program assistants, building managers, guest services attendants, and fitness center monitors.
Conducts annual performance evaluations and provides ongoing coaching and development.
Coordinates and evaluates outcome-based training, meetings, and professional development for student employees.
Collaborates with the Assistant Director to develop internship and practicum opportunities.
Ensures compliance with university and department HR and student employment policies and procedures.
Fiscal and Resource Management
Assists in developing, managing, reporting, and evaluating the facility operations budget, including revenue, payroll and operational expenses.
Ensures fiscal responsibility and alignment with university and department financial policies and procedures.
Recommends capital and operational purchases based on research and program needs.
Ensures business operations employ the best practices that are consistent with university and industry standards.
Risk Management
Maintains and updates emergency procedures for facility operations.
Ensures proper maintenance and documentation of facility, safety and first aid equipment.
Serves as a first responder during emergencies and provides care within certification scope.
Resolves conflicts and incidents in accordance with department policies and procedures.
Recommends and enforces policies and procedures that promote participant safety and well-being.
Collaborates with staff and partners to assess facility conditions and mitigate risks.
Reviews and manages incident and injury/accident reports.
Administrative Duties
Collects, analyzes, and reports facility operations data for annual report and assessment plan, including learning outcomes and assessment metrics.
Develops and updates policies, procedures, and manuals in alignment with industry, university, and department standards.
Serves on departmental and university committees to support Campus Recreation's mission and values.
Participates in professional development and encourages staff engagement in industry learning.
Periodically evaluates facilities and programs to ensure quality and safety.
Position is required to attend Campus Recreation classes and/or programs and use various facilities and equipment periodically to ensure that they meet or exceed department and industry standards and risk management guidelines.
Performs other duties as assigned in support of Campus Recreation and the Division of Enrollment Management and Student Affairs.

Qualifications
A Bachelor's degree in Recreation Administration, Sport Management, Higher Education, Exercise Science, Facility Administration, Public Administration, Physical Education, Business Administration, or related field is required.
Must have professional experience in the following areas:
Administration, implementation, and evaluation of facility and/or guest service operations.
Event management, including facility scheduling, risk mitigation, and operational execution.
Hiring, supervising, advising, training, and evaluating employees and/or interns in facility or guest service settings.
Certification in CPR with AED, Standard First Aid, and Bloodborne Pathogens/Universal Precautions, as well as Campus Security Authority (CSA) training, required within 90 days of hire.
Master's Degree in a related field to the work is preferred.
Highly qualified applicants will have demonstrated professional experience in the following areas:
Budget development, financial reporting, and resource management.
Contracting, procurement, and insurance processes.
Use of online data, rental, and scheduling management systems (e.g., Fusion) to support facility operations.
Coordinating facility rentals, including communication with rental stakeholders, managing billing processes, and ensuring smooth scheduling and space usage.
Certification as an instructor with the American Red Cross or American Heart Association is preferred.
Active professional involvement with organizations such as NIRSA, NRPA, NASPA, ACPA, or related associations is preferred.
