Summary of Responsibilities: Provides direct support and administrative services to the Director of Advancement & Communications and Executive Management Team by following administrative systems, procedures and policies, and monitoring administrative projects.

Special Skills:

Excellent office skills including word processing and spreadsheet software experience; strong people skills to provide excellent internal and external customer service. Must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion and judgment, while working in a results-oriented and fast-paced behavioral healthcare environment. One or more years’ experience as an Administrative Assistant.

Essential Duties and Responsibilities: Assist and coordinate the schedules of Director and Chief Officer. Communicates directly and on behalf of Director and Chief Officer. Provides secretarial support to meetings by providing accurate documentation of minutes for Board of Directors and Executive Meeting minutes. Assist with engagement of external stakeholders and donors. Assist Director with event planning. Resolves administrative problems by coordinating preparation of reports; analyzing data; and identifying solutions. Provides information by answering questions and requests. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders; verifying receipt of supplies. Completes operational requirements by scheduling and assigning administrative projects; expediting work results. Maintains customer confidence and protects operations by keeping information confidential; following established confidentiality policy and procedures; maintaining professional boundaries with clients. Maintains inter- and intradepartmental workflow by fostering a spirit of cooperation. All other duties as assigned.
