Job Title: Administrative Assistant Stout Campus Department: Administration Reports To: Director of HR and Operations Employee Classification: Full-Time, Non-Exempt Salary Range: $19.00-$22.00 per hour Daily Schedule: Monday-Friday 7:45 am to 3:45 pm (with a 45-minute break)

The Administrative Assistant at the Stout Campus plays a key role in welcoming students, supporting operations, and ensuring the smooth daily function of this new facility. As the first point of contact for visitors and families, the Assistant sets the tone for the MAC Middle experience. This person is reliable, organized, and proactive, with a warm presence and strong interpersonal skills. The Administrative Assistant reports to the Director of Hr and Operations and collaborates closely with the Head of School and other team members.

Responsibilities and Duties Front Desk & Campus Operations Opens the Stout building daily and ensures it is ready to receive students and staff Greets all students, families, visitors, and vendors with warmth and professionalism Manages visitor check-ins and security, ensuring all guests are properly identified and directed Acts as the communication hub for the Stout buildingfielding phone calls, managing messages, and supporting day-to-day logistics Monitors the buildings camera system and supports visitor tracking protocols Maintains the front office and common areas to ensure they are tidy, organized, and welcoming Daily and Event Logistics Periodic teacher support to support smooth classroom functioning, including but not limited to preparation and distribution of educational materials Coordinates building-specific logistics for school-wide and campus events, including set-up, communication, and materials (this may include after-school events) Sends calendar invites, reminder emails, and logistical communications to stakeholders as assigned Orders and organizes classroom and office supplies for the Stout building; tracks expenses and submits receipts Supports daily delivery needs, including receiving and distributing packages and materials Student and Staff Support Welcomes students and families to the building Strives to build relationships with students Provides student supervision during drop off, lunch, and pick-up times with other MAC Staff Provides minor first aid when needed and supports health-related logistics in coordination with the school nurse Assists in maintaining classroom rosters and student data in Transparent Classroom Assists with staff onboarding logistics, including access fobs, photos, and welcome materials Participates in fostering a positive and purposeful school culture at the Stout building Operations Support As needed and assigned, supporting the daily operations and staffing of the campus and the work of the Director of Operations and Human Resources with tasks such as: Coordinating facilities work and serving as a resource to outside vendors Coordinating the use of shared community spaces Support with coordination of events (parent workshops, open houses, admission events) as needed Other tasks as assigned Qualifications Friendly, warm, and collaborative with a sense of humor and flexibility in support of an adolescent learning environment.
