Job Summary: We are seeking a seasoned, detail-oriented
Practice Manager
with at least 5+ years of experience in medical office or concierge practice management. This is a
fully remote, full-time
role supporting a boutique private-pay medical practice that provides hormone replacement therapy, peptide therapy, and longevity-focused care to high-net-worth clients.
This individual will oversee day-to-day operations, manage patient communications and records, and play a key role in modernizing practice infrastructure, including EMR migration.
Job Responsibilities:
Serve as the primary point of contact for patients and staff, delivering concierge-level support via email and phone
Maintain and manage patient records using Google Docs (short term), including updates related to prescriptions, labs, and payments
Oversee all scheduling, follow-ups, patient communications, and payment tracking with high attention to detail
Monitor prescription and refill cycles to ensure uninterrupted care
Coordinate directly with the physician on lab results, care plans, and custom patient needs
Lead the eventual transition from manual documentation to an EMR system - experience with EMR selection and implementation is a plus
Ensure HIPAA compliance and safeguard patient data privacy
Handle new patient onboarding, lab coordination, invoicing, and pharmacy communications
Maintain immediate, professional communication during business hours Qualifications:
Minimum of 5+ years of experience in medical office or concierge practice management
Prior experience working with high-net-worth or VIP clientele strongly preferred
Proficiency with
QuickBooks Online
for invoicing and payment tracking
Highly proficient in written communication and email etiquette
Comfortable managing manual systems and working in Google Docs/Sheets
Familiarity with hormone therapy, peptides, or basic lab result interpretation is a strong plus
Proven organizational skills with strong attention to detail and follow-through
Self-motivated, reliable, and able to thrive in a fully remote, autonomous work environment
Experience migrating from manual to electronic medical records is preferred
Demonstrated discretion, confidentiality, and professionalism
