Transportation Coordinator
The Transportation Coordinator is a vital member of the logistics team, responsible for managing and coordinating truckload assignments for Costa Farms products. This role ensures efficient routing and scheduling, accurate carrier payments, and clear communication across internal departments, local drivers, and external carriers. The coordinator plays a key role in maintaining daily transportation operations, meeting shipping deadlines, and supporting overall supply chain efficiency. Responsibilities: Perform daily routing and scheduling of outbound shipments. Strategically route customer orders using optimization software to maximize efficiency. Collaborate with the internal departments to maintain optimal fill rates and meet customer expectations. Coordinate shipping volumes with the logistics team, considering location capacity and delivery windows. Assign carriers and trailers to outbound loads based on availability and performance. Maintain and update carrier rate information to ensure accurate and timely payments. Manage cancellations and reassign trucks as needed to avoid service disruptions. Input and update pay rates in the Transportation Management System (TMS) for carrier invoicing. Serve as a liaison between carriers and internal departments to resolve issues and streamline operations. Ensure all PM equipment is compliant with DOT inspections and ready for road use. Flexibility to work overtime during peak seasons as required. Additional Responsibilities: Availability for flexible schedule changes based on business needs (including but not limited to seasonal demand and additional hours outside of the regular work schedule, such as weekends, nights, and holidays). Collaborate with cross-functional teams to gather information or help as required. Perform additional duties as required. Qualifications: High School Diploma or GED required. 13 years of experience in a transportation or logistics environment. Understanding of DOT regulations and compliance standards is a plus. Strong verbal and written communication skills. High energy, strong work ethic, and a positive, team-oriented attitude. Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook). Excellent communication and interpersonal skills in Spanish and English. Experience with Power BI, is a plus. Superior organizational, self-motivation and problem-solving skills. Ability to effectively operate both independently and as part of a team. Flexibility to adapt to changing priorities and work schedules as needed. Physical Demands: Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body Primarily involves sitting, with occasional requirements to stand, walk, or lift objects to a certain weight. Work Environment: The role involves utilizing standard office equipment, such as computers, monitors, keyboards, mice, telephones, and other essential digital tools required for daily tasks. Indoor Office Environment: The role is primarily office-based, which may include open spaces with background noise from conversations, office equipment, and phone calls. Occasionally, tasks may require working outdoors in various weather conditions. Skills: Familiarity with Transportation Management Systems (TMS). Ability to manage multiple shipments and prioritize tasks effectively. Problem-solving abilities for handling cancellations, reassignments, and delivery issues. Ability to work cross-functionally with internal departments, drivers, and external carriers. Demonstrated ability to work well in a team-oriented environment. Ability to maintain confidentiality and handle sensitive information with discretion. Effective time management skills to complete tasks within deadlines and maintain productivity.
