Description
The City of Fishers is seeking a detail-oriented and highly motivated
Administrative Assistant
to support operations at our new Community Center. This vital role involves performing a wide range of administrative and clerical duties in a fast-paced, community-focused environment. We’re looking for someone who: Communicates clearly and professionally Demonstrates excellent organizational and time management skills Exercises sound judgment and discretion in day-to-day responsibilities Thrives in a collaborative setting and can work independently when needed If you're eager to contribute to a mission-driven team and help launch a cornerstone of the Fishers community, we’d love to hear from you. Examples of Duties
Provide administrative support to staff as needed to ensure efficient operation of all programs while providing excellent customer service to all patrons and staff. Assist with summer and break camp registration. Maintain a variety of accurate records, schedules, and calendars while coordinating meetings and events. Schedule and coordinate meetings and travel arrangements, prepare meeting agendas, attend meetings and take and publish meeting minutes. Type and proofread a variety of documents including general correspondence, agendas, reports, memos and statistical reports. Maintain a variety of records; establish and maintain electronic and physical files, record-keeping systems, and databases including periodically reviewing and purging files in accordance with the records retention policy. Order office supplies and processes incoming and outgoing mail/parcels. Operate a variety of office equipment and perform minor maintenance such as cleaning, making minor adjustments, and changing paper, toner and cartridges as needed. Assist with event planning including vendor coordination, procurement, and site preparation. Act as a first responder in the event of an emergency, providing immediate assistance, administering first aid or CPR as needed, and following proper emergency protocols to ensure member and staff safety. Perform administrative tasks in support of special projects as needed and other related duties as assigned. Minimum Qualifications
Equivalent to the completion of a high school diploma and two (2) or more years of experience providing responsible administrative support. Experience providing a high level of customer service to diverse internal and external customers both in-person, online, and over the telephone. Requires the knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and the ability to prepare effective written communication and the ability to communicate effectively verbally. Must be detail-oriented, possess good organizational and follow-up skills, and have the ability to prioritize and meet deadlines. Ability to work in an environment with frequent interruptions and background noises. Must possess and maintain a valid Indiana driver’s license with a record that allows the ability to be insured to drive a City vehicle. Must have an Adult CPR/AED, First Aid certifications or ability to obtain within the first 60 days. Training will be provided. Must be able to work a variety of shifts including evenings and weekends. Working at the Community Center
