Administrative Assistant
Provides comprehensive administrative support to the Vice President of Healthcare Operations and Chief Operating Officer -JMG within the organization. This role ensures smooth daily operations and fosters a professional, welcoming environment for guests and visitors. Job responsibilities include: Interacting professionally and courteously with co-workers, visitors, and other staff, consistently embodying and promoting the core values of Jefferson. Managing all incoming phone calls, providing a welcoming and helpful first point of contact by greeting visitors and guests and directing them to the appropriate departments or individuals in a timely manner. Efficiently organizing, maintaining, and retrieving physical and electronic files, records, and logs to ensure accurate documentation and easy access as required. Overseeing the ordering, tracking, and management of inventories for office supplies, computer equipment, and other general administrative materials to support uninterrupted operations. Sorting, prioritizing, and distributing incoming and outgoing correspondence and documents, ensuring timely and accurate routing to the appropriate recipients. Coordinating and scheduling a variety of appointments and meetings for the Vice President & Chief Operating Officer and their team, managing complex calendars involving both internal and external participants. Preparing and drafting professional correspondence, memos, presentations, and reports at the direction of the Executive team, maintaining a high standard of accuracy, clarity, and timeliness. Attending designated meetings and being responsible for capturing detailed and accurate meeting minutes, ensuring key points, decisions, and action items are documented and distributed as appropriate. Education and experience requirements: High School Diploma Required, Bachelor's Degree preferred. Minimum of 2 years' experience in an administrative setting.
