As a Virtual Assistant at Blue Chip Medical Reviews, you will play a key role in supporting administrative functions, streamlining processes, and assisting with client communications. You will be responsible for managing schedules, handling customer inquiries, organizing documents, and assisting with various tasks that contribute to the success of the team.
Key Responsibilities:
Administrative Support:
Manage the schedules and calendars of medical reviewers and executives.
Organize and maintain electronic files and medical records in compliance with privacy regulations (e.g., HIPAA).
Coordinate appointments, meetings, and conference calls.
Client Interaction:
Handle client inquiries via phone, email, or chat, ensuring timely responses and providing excellent customer service.
Assist with the preparation and follow-up of client documents, ensuring all information is accurate and complete.
Data Entry & Documentation:
Input medical review information into the company’s database and ensure records are up-to-date.
Prepare reports, summaries, and presentations based on medical reviews and case summaries.
Task Management:
Assist in tracking deadlines, appointments, and ongoing projects to ensure all are completed in a timely manner.
Assist with research, including gathering medical records and supporting documentation.
Confidentiality & Compliance:
Maintain confidentiality and follow all data protection and security procedures.
Adhere to industry regulations and company policies to ensure compliance with medical review standards.
Qualifications:
Experience:
Minimum of 2 years of experience in an administrative or virtual assistant role, preferably in a healthcare or medical-related field.
Familiarity with medical terminology and understanding of HIPAA regulations is a plus.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Excellent written and verbal communication skills.
Strong attention to detail and the ability to handle confidential information.
Ability to manage multiple tasks and prioritize efficiently in a fast-paced environment.
Tech Savvy:
Comfortable using remote collaboration tools (Zoom, Slack, Trello, etc.) and cloud-based systems.
