Administrative Coordinator I
The Department of Radiology is seeking an Administrative Coordinator I to support the operations of the COM Radiology Business Office and to provide administrative support to the Community Radiology Administrator assisting with oversight of the Regional Health Network Imaging Practice. The Administrative Coordinator will be responsible for coordinating and performing accounting operations including but not limited to procurement, travel reimbursements and general accounting duties supporting the Department of Radiology and Radiological Science. Additionally, the Administrative Coordinator will provide professional administrative support for the Community Radiology Administrator with but not limited to faculty onboarding, reporting and clinical schedule management. Job Duties: In accordance with state, MUSC and MUSCP procurement policies & guidelines, responsible for securing quotes for equipment and supplies, preparing purchase requisitions and reimbursement documents for submission to MUSC and MUSCP procurement and accounts payable on behalf of the department, faculty, residents, staff, academic and research programs. 20% Recordkeeping for faculty, residents, education programs and some research funds. Responsible for distribution of quarterly budget reports and upon request. Monitor balances and report significant variances in spending to accounting manager for review. 15% Coordinate and perform on boarding tasks for COM faculty and staff. Assist the Community Radiology Administrator with onboarding of locums staffing and employed radiologists. Community Radiology onboarding tasks include, but not limited to, ensuring receipt of signed offer letters or assignment letters, submission of hospital and payor credentialing packets, assignment of training modules, ordering of lab coat and appropriate division badge(s), ordering and shipment of equipment to the radiologist, and coordinating with division directors of the radiologist's first day of work. 15% Support and assist the Community Radiology Administrator with maintaining accurate clinical schedule and timekeeping reconciliation for the regional Radiology faculty. Includes organizing and tracking physician's vacation, CME, and sick time. Collaborates with Community Radiology Administrator to ensure that work assignments are filled and documented in the scheduling software, as well as communicated with the appropriate division's radiology director. 15% Support and assist the Community Radiology Administrator with reporting for physician productivity as required by the College of Medicine and MUSC Community Partners. Includes maintaining monthly physician productivity scorecards and distribution to each radiologist and leadership. 10% Support and assist the Community Radiology Administrator with reconciliation of PSA transfers and expenditures and reporting of budget to actual variances to MCP. 10% Responsible for the monthly processing of resident moonlighting one-time payments and completing quarterly billing to MUHA and MUSCP Corporate for cost reimbursement. 5% Provide the Community Radiology Administrator with assistance in facilitating payment to contractors as needed. 5% Perform special projects and/or additional assignments, as needed to keep the department running smoothly and make recommendations to leadership for procedural improvements and assist with implementation. 5% Preferred Qualifications: Experience with bookkeeping helpful. Experience in medical office setting is preferred but not required. Must be proficient in Microsoft Office programs, particularly Excel. Experience with Workday and QGenda a plus. Ability to perform basic data analysis and identify trends and anomalies. Ability to work independently with little direction to complete work and meet established deadlines in an accurate and timely manner and to manage short and competing deadlines. Must maintain confidentiality of all records and ensure this confidentiality even when communicating with staff, faculty and administration. Excellent communication, presentation and interpersonal skills, with the ability to convey value to both staff and faculty members. Ability to perform routine, repetitive tasks while maintaining a strong attention to detail.
