Executive Administrative Assistant
Provide executive-level administrative support to the Executive Director/CEO of Feed My Starving Children (FMSC). Manage the CEO's calendar, travel, and meeting preparations. Assist with correspondence and donor relations. Maintain relationships with Board Chairperson, Board members, and Executive Team members. Keep meeting minutes, compose various communications, and create reporting summaries. The anticipated starting pay range is $66,000 - $75,000. This compensation range considers a number of factors, including a candidate's qualifications, skills, competencies and experiences, as well as internal equity. This is a full-time, exempt (salaried) position. Typical work schedule is Monday-Friday, regular business hours. Occasional evening and weekend hours required. FMSC benefits included. Manage Executive Director/CEO's calendar. Schedule meetings and appearances. Coordinate all meeting logistics for the Executive Director/CEO, Board, Executive Team, and key external stakeholders. Lead scheduling, agenda preparation, setup, hospitality (as needed), minute-taking, and follow-up. Ensure confidentiality and smooth execution of Board, Executive, donor, and partner meetings. Assist Executive Director/CEO with email, phone, and mail correspondence. Arrange incoming correspondence in priority action order, and prompt Executive Director/CEO with response priorities. Assist Executive Director/CEO with donor portfolio maintenance and growth. Assist with obtaining sponsorships for Galas and other large events as directed. Arrange all aspects of the Executive Director/CEO's travel, including schedules, reservations, confirmations, expense reporting, and follow-up (acknowledgments, registrations, thank you notes, etc.). Work in coordination with Executive Director/CEO and others to assist in the composition, preparation, proof reading, and editing of internal and external announcements, statements, and messages. Develop professional and development-centered relationships with the Board Chairperson and all Board members. Develop professional relationships with Executive Team members. Coordinate with the Board Chair to develop the Board calendar and new Board member onboarding. Coordinate events and large group meetings. Reserve facilities, arrange for hospitality, and prepare information packets and supplies. Coordinate communication plans, speakers, invitations, and RSVPs. Create, organize, and maintain physical and electronic files, contact lists, and email distribution lists. Develop, monitor, and steward annual Executive Team budget. Coordinate between Executive Director/CEO and International Programs travel planners for international donor trips led by Executive Director/CEO. Perform other duties as assigned. Commitment to support, promote, and authentically communicate FMSC's Christian mission and goals. Commitment to support the goals and priorities of the CEO. Minimum of bachelor's degree and 5 years of experience in a related field. In lieu of degree, equivalent work experience considered. Advanced competencies with Microsoft Office required. Must possess a willingness and ability to learn new systems and tools to make work more efficient and effective. Exceptional verbal, written, and interpersonal communication skills. Able to professionally interact with all levels of internal and external contacts. Experience communicating with Board members preferred. Excellent organizational skills with high level of attention to detail and follow-up. Able to prioritize, manage multiple tasks, and meet deadlines quickly and with accuracy in fast-paced environment. Self-starter with ability to independently make decisions, perform tasks, and solve problems. Able to use discretion and maintain confidentiality of sensitive information.
