The Medical Scheduler assists the agency with the day-to-day functions of medical services in withdrawal management and residential treatment programs, which include identifying clients/patients in need of medical appointments and scheduling appointments for medical providers, as well as ensuring clients attend these appointments. This is a union position. Key responsibilities include: Scheduling medical appointments for clients to be seen by medical providers on-site and via telehealth. Monitoring and addressing all requests from clients and staff for medical appointments, utilizing various EHR to identify need for appointments, and scheduling based on priority to maximize providers' time. Working closely with the medical provider to ensure flow of clients to appointments for efficient practice management. Making follow-up calls for providers; confirming "next day's appointments," locating clients and connecting them to the provider at their scheduled appointment time. Greeting and providing superior customer service to patients, guests, clients, and vendors. Communicating clearly on the phone and in person and accurately taking and delivering messages. Documentation Responsibilities
Performing general administrative tasks such as filing, organizing, data entry, etc. Processing client data entry in various electronic systems in accordance with guidelines established by HealthRIGHT 360 to satisfy internal and external evaluating requirements. Administrative Responsibilities
Assisting and directing callers, clients, and visitors to appropriate employees and departments. Orientation, training, and assisting of volunteers on certain front desk responsibilities may be assigned. And, other duties as assigned. Qualifications
Education, experience, and credentials: High school diploma or GED required. 12 years of experience in a medical office, scheduling, or customer service role. Basic knowledge of: Medical terminology HIPAA and patient confidentiality standards Insurance authorization/referral processes (especially for behavioral health or outpatient settings). Desired: 2 years' experience working in a medical front office setting, preferably in a community clinic with medical and/or dental experience. Familiarity with other community agencies in the Bay Area to make appropriate referrals. Understanding of harm reduction philosophy and ability to provide non-judgmental, client-centered services. Bilingual language capacity (Spanish/English). Knowledge and skills: Proficiency in electronic health record (EHR) systems (e.g., Epic, Welligent, Cerner, NextGen). Familiarity with scheduling software and office tools (MS Outlook, Excel, etc.). Typing speed of 4550+ WPM. Ability to manage multi-line phone systems and high call volume. Background check and other requirements: Qualified candidates with arrest and conviction records will be considered for employment. Must be capable of obtaining and maintaining a satisfactory background check. Must be capable of meeting health screening and tuberculosis testing requirements. Must be capable of maintaining credential requirements. Must be capable of meeting the program and funder requirements. Must complete background check or livescan clearance.
