Administrative Assistant

in Tulsa, OK. The successful applicant will provide professional reception and a variety of administrative support services to small business owners who are tenants at the beautiful 320 S Boston Ave in downtown Tulsa!

Minimum requirements include :

High school diploma or equivalent

5 years of successful experience as an administrative assistant and receptionist

Professional demeanor and interpersonal skills

Above average ability to handle change, problem solve, and maintain composure

Above average teamwork and customer service skills

Average MS Word, Excel, Outlook, PowerPoint skills

Basic understanding of clerical procedures such as recordkeeping, filing, and use of office machine

Associate’s degree in related field preferred

Basic understanding of construction work order process preferred

How You Will Be Successful:

Open and close the primary office on the 11th floor (8:00 AM – 5:00 PM).

Maintain cleanliness and organization of the breakroom and common areas used by tenants.

Operate the switchboard and answer personalized phone lines.

Direct calls and messages for tenants as needed.

Serve as dispatcher for Engineers and Porters to coordinate building services.

Maintain and manage the conference room calendar and assist with scheduling.

Provide general administrative support, including word processing, Excel data entry, and PowerPoint presentations.

Provide notary public and other similar services for tenants and their clients.

Enter billing information into Yardi for services used by tenants.

Sort and distribute tenant mail; receive, sign for, and deliver packages and courier items.

Dispatch external couriers for tenant errands as needed.

Maintain and troubleshoot office machines, including printers, copiers, postage, and fax machines.

Order necessary office supplies (e.g., toner, ribbons) and coordinate equipment maintenance or servicing.

Perform filing and general clerical duties.

Support the Special Projects Manager by logging transactions and gathering receipts for accounting purposes.

Provide administrative support to BAM managers when time allows.

Crosstrain with other Business Center Administrative Assistants to ensure coverage and support across all functions.

Participate in team-oriented projects and collaborate to support the overall goals of the Business Center.

Perform other duties and responsibilities as required or requested by the BBC Manager.
