Position Summary Concordia University is seeking applications for a part-time, non-exempt staff position of Administrative Assistant in the Master of Social Work (MSW) Program. The Administrative Assistant will play a key role in supporting the MSW Field Director and faculty by providing administrative and operational assistance related to field education. Responsibilities include coordinating with clinical sites, identifying and developing new placement opportunities, managing affiliation agreements, maintaining the field placement database, and performing additional administrative tasks to support the efficient operation of the MSW field education program. Job Duties & Responsibilities Promote the mission of Concordia University to all faculty, staff, students and to the community at large Promote effective working relationships among faculty, staff, students, alumni, professionals and the general public Manage the on boarding process for field placements Manage the clinical

agreement process Updating of credentials and licensing for all field work instructors Maintain regular updates to professional databases Provide support for program events such as student orientations, field instructor orientation, field instructor drop-in sessions, and other events as needed Initiate and maintain student, alumni and professional contact databases Participate in the ongoing evaluation of the MSW Program; this may include attendance at faculty meetings Assist in preparing program accreditation write ups and onsite visit assessments as required by respective accreditation bodies Assist with clinical placement requests as assigned by the MSW Field Director Access and utilize educational software Assist with student background check requirements Perform other duties as assigned Knowledge, Skills, & Abilities Excellent organizational skills Supportive of the mission and values of Concordia University Wisconsin/Ann Arbor and the Lutheran Church Missouri Synod (LCMS) Knowledge : Understanding of social work education, field placement processes, or clinical training models (preferred) Familiarity with higher education operations, policies, and accreditation requirements Knowledge of managing

contracts Basic understanding of HIPAA, FERPA, and confidentiality protocols Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Knowledge of database management Familiarity with educational platforms or software (e.g., learning management systems, placement tracking tools) Skills : Strong administrative and organizational skills - ability to manage multiple tasks and deadlines Excellent communication skills - written and verbal, for interaction with students, faculty, and clinical partners Attention to detail - especially when managing contracts, credentialing, and data entry Event coordination - ability to plan and support orientations, drop-in sessions, and field events Problem-solving skills - ability to troubleshoot placement or contract issues with professionalism Database entry and maintenance - ensuring accurate, up-to-date records Collaboration skills - working effectively with internal and external stakeholders Time management - prioritizing tasks in a part-time, deadline-driven role Abilities : Ability to uphold and promote the mission and values of Concordia University Ability to maintain confidentiality and professionalism at all times Ability to work independently and take initiative, while also functioning as part of a team Ability to manage and track multiple affiliations, credentialing records, and student placements Ability to adapt to changing priorities and needs within the program Ability to interact with diverse populations including students, professionals, and community partners Ability to learn new technologies and platforms used in higher education and field education Ability to contribute to accreditation processes and assist in preparing reports Education & Experience An undergraduate degree is preferred and/or three to five years of general office experience that include an advanced level use of Microsoft Office especially Excel, Access, Word and Outlook. Previous experience working in academia is a plus. Physical Demands/Equipment (Click to View) Compensation & Benefits This is a part-time, non-exempt (hourly) staff position. The starting wage may be determined upon education and/or experience. Tuition benefits are available for employees; however, there are no other benefits associated with this position.
