Primary Purpose:
Responsible for processing of department payroll. Entry and maintenance of both ClockWise and AESOP (absences), confirming employee overtime, process and submit transfer of expense for reimbursement, and MUNIS system. Cross-trained in Service Center Dispatcher duties and serves as back-up if necessary.

High school diploma or equivalent. Skills:
Minimum Assessment Standard: Broad knowledge of MS Word and basic knowledge of MS Excel. File maintenance skills. Excellent organization skills, problem solving abilities and conscientious work habits. Ability to perform team or independent work. Ability to operate various office equipment (copier/fax machine). Ability to work with people effectively. Be detail oriented, able to prioritize duties and multitask under pressure. Fluent in English and Spanish (speak and writing) preferred. Customer service relation skills. Strong oral and written communication, interpersonal relations, negotiating, analytical, problem solving, customer service, decision making, and coordination skills. Ability to maintain confidentiality in all aspects of the job. Ability to manage multiple tasks with frequent interruptions Strong time management skills. Ability to work with numbers in an accurate and rapid manner. Experience:
Require a minimum of one (1) year of experience in clerical and/or administrative support.
Major Duties and Responsibilities:
Administrative Assistant and/or Payroll Clerical Support:
Process paperwork in the hiring of new employees, promotions, transfers, resignations, retirements, and terminations. Coordinate office operations and serve as a liaison with employees and job applicants. Maintain department personnel files, including counseling reports, information cards, and all confidential files. Coordinate with the Workers' Comp and Employee Leave Specialists. Prepare and maintain paperwork for the employee medical and personal leaves. Update department employee and resignation log. Work closely with A/P on getting packing slips/ invoices for payments. Provide support to the Managers/Supervisors as needed. Records, Reports and Data Entry:
Confirming employee's time sheets, overtime, and absences. Payroll-MUNIS batch for every pay period. Process department Transfer of Expenses (Bond, Athletics, Rental, School Activities, etc.) Prepare and distribute all forms necessary for department use to include transfer, vacation, promotions, injury and medical leaves for department personnel. Maintain Absence from Duty Report information on all employees per pay period. Safety:
Low exposure to self to repetitive motion injuries due to keyboarding. Low exposure to self to bruises and cuts due to typical office accidents. Other:
Cross train with the Service Center Dispatcher. Responsible for incoming phone and radio calls on multiple lines, and channels. Determines action needed and responds accordingly. Gathers information from sites for work orders, identifies technician/lead personnel responsible. May assist with translation and/or communication using second language skills when possible. Participate in training as directed. Perform other duties as assigned and cross train with other department positions.

This position requires regular in-person interaction with the public. Physical Demands:
Frequently required to sit and reach with hands and arms. Occasionally required to stand and walk. Must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.
