We're looking for an energetic, organized, and people-oriented professional to serve as the front face of our fast-paced middle school office. The ideal candidate will be friendly and outgoing, able to juggle multiple tasks with ease, and genuinely enjoy working with students-especially teenagers. This role assists and performs a wide range of clerical, receptionist, and record-keeping duties as required by the assigned office/ department.
Distinguishing Characteristics:
Positions assigned to the assistant secretary classification are distinguished from office manager/ lead secretary by the performance of standard office duties. Essential Requirements: High school diploma or equivalent One year of general office experience (or a combination of education and experience that provides the required skills and knowledge) Proficiency in office procedures and equipment Strong written and verbal communication skills, with the ability to interact courteously and professionally with staff, students, parents, and visitors Attention to detail and ability to meet deadlines Ability to understand and follow both written and oral instructions, policies, and procedures Competence in operating standard office equipment, including computer, printer, phone, copier, calculator, etc. Typing proficiency appropriate for the position Ability to lift up to 25 pounds and perform physical duties as assigned
Essential Duties and Responsibilities: Provide general clerical support (typing, proofreading, filing, etc.) Monitor and maintain student attendance records Answer phones, take messages, and direct calls to appropriate staff Communicate with parents regarding student attendance, absences, or behavior Enter data into student information systems and generate reports as needed Draft letters, memos, and bulletins from notes, rough drafts, or verbal instructions Manage and process incoming and outgoing student records Greet and assist office visitors, answer intercom calls, and provide information as needed Handle and account for monies received (e.g., field trips, fees, etc.)
