Practice Manager

with strong operational expertise and digital fluency to lead our daily functions and support scalable expansion. Position Summary: The Practice Manager will be responsible for day-to-day operations and will play a critical role in building and refining the infrastructure of a high-performance startup clinic. This role requires hands-on leadership, workflow development, and the ability to manage a dynamic team and growing service lines. Ideal candidates are systems-oriented, thrive in fast-paced environments, and are highly proficient in Microsoft Office tools and operational software. Key Responsibilities: · Daily Operations Management: oLead all front and back-office operations including scheduling, supply chain management, and patient flow oCoordinate clinical and administrative functions to ensure seamless execution of services (e.g., IV therapy, peptides, labs, and concierge wellness visits) oOversee vendor management and inventory control oHire, train, and manage staff across administrative and clinical support roles oPromote a culture of professionalism, accountability, and white-glove service oConduct performance reviews and implement staff development plans · Finance, Systems & Business Operations: oMonitor billing, revenue tracking, and vendor payments oBuild and maintain operational dashboards using Microsoft Excel or Power BI oTrack KPIs and support leadership with financial reporting and forecasting oCreate, implement, and maintain SOPs and workflow protocols oMaintain and optimize EMR and scheduling systems · Technology & Digital Competency: oLeverage Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for documentation, analytics, communication, and presentations oBuild operational tools and trackers using Excel (e.g., pivot tables, formulas, dashboards) oMaintain digital organization of protocols, documentation, and training materials using Microsoft OneDrive, SharePoint, or Teams · Client Experience & Growth Support: oEnsure a seamless, high-touch client experience from intake to follow-up oSupport marketing and referral coordination, leveraging CRM tools oCollaborate with leadership on service optimization, client retention, and future site planning Qualifications: ·Bachelor’s degree in Healthcare Administration, Business, or related field (Master’s preferred) ·3–5+ years of experience managing a medical practice, ideally in concierge or startup environments ·Advanced proficiency with Microsoft Office (especially Excel, Outlook, and PowerPoint) ·Experience with EMRs, scheduling software, and healthcare operations platforms ·Exceptional communication, leadership, and problem-solving abilities ·Highly organized, detail-oriented, and capable of handling multiple priorities in a fast-growing environment Preferred Attributes: ·Experience with precision medicine, integrative health, or high-end wellness services ·Proven ability to build and scale systems in a startup or growth-phase practice ·Comfort with evolving responsibilities and startup dynamics ·Strong customer service mindset and ability to represent a luxury healthcare brand ·Independent and creative mindset, looking to help leadership team with solution driven patient care.
