Administrative Assistant Economic Development Department of Administration Hourly Wage:
$15.74/Regular/Full -Time
This is a highly responsible administrative support position for the Economic Development Department. Responsible for assisting in planning economic development activities relating to the establishment of tribal enterprises, commercial business development and tribal entrepreneurship training. Responsible for comprehensive administrative management services. Work involves extensive professional research, analysis, networking, program development, filing, assists in processing economic development project plans, proposals, and funding source documentation. Supports the administrative workflow of the economic development staff, timekeeping duties, accounting tasks, records, and inventory management. Work is performed with extensive latitude for independent judgment and self-motivation. Work will be reviewed upon completion to ensure that compliance and professional standards will be met. Assignments are broad in range and on-going. Examples of Work Performed: Provides administrative support to the Economic Development Director and staff. Performs general office duties including to retrieve, open, sort, and distribute incoming/outgoing correspondence, ordering supplies, records and inventory management, timekeeping, and performing basic bookkeeping duties when required. Assists in gathering data for the Director's monthly report, researching travel data, resolutions, committee actions and project proposals. Run errands and obtains signature of routine documents. Composes routine forms and correspondence. Maintains staff time and attendance files and prepares accurate, up-to-date leave audit records. When required, analyzes transaction, generates requisitions and purchase orders. Tracks and records inventory and maintenance of property, equipment, and vehicles. Maintains inventory of department reference materials, project information, and historical data. Completes assigned duties to ensure work for accuracy, neatness, and conformance with all policies and procedures. Maintains standardized records management that allows for security and accessibility to records, including the responsibility for adapting or improving the methods used. Operates equipment such as computers, printers, copiers, projectors, calculators, or other equipment as required by the position. Perform typing with responsibility for accuracy and basic grammar, punctuation, and spelling. Provides program orientation for new employees and guidance to volunteers. Knowledge, Skills and Abilities: Knowledge of economic development principles and practices. Knowledge of planning, organizing, implementing, and monitoring project development. Familiar with principles, policies, procedures, techniques, and methods in planning. Ability to think conceptually, observe and evaluate trends, analyze data, draw logical conclusions, and make sound recommendations relating to project development. Knowledge of general principles and practices of business administration and office procedures. Knowledge of Yakama Nation personnel policies, regulations, and procedures. Familiar with timekeeping and Payroll practices and procedures. Knowledge of or ability to learn iSolved Timekeeping System. Knowledge of governmental accounting principles, practices, concepts, and terms. Knowledge of or ability to learn Dynamics 365 Accounting System. Excellent computer skills with the ability to operate all office equipment. Ability to perform typing at an acceptable level of proficiency. Ability to handle multiple jobs, prioritize tasks, and adapt to constant interruptions. Ability to work under pressure and handle stressful situations as they arise. Ability to communicate clearly, tactfully, and persuasively orally and in writing. Minimum Requirements: Must have high school diploma or equivalent. Two years of experience as an Office Assistant V or Bookkeeper III. Must have a valid Washington State Driver's License and be insurable under Yakama Nation guidelines. Required to pass a pre-employment drug test. Must have an excellent time and attendance record. Enrolled Yakama Preference, but all qualified applicants are encouraged to apply. Preferred Requirements: Associate Degree in Business or related field.
