Description

This position will play a leading role in coordinating and overseeing the core administrative tasks, intake data entry, and recruitment objectives of the Pinellas HIPPY program. Working closely with the HIPPY Coordinator, this individual will be responsible for executing essential day-to-day operations of the program. The ideal candidate should be comfortable working both independently and collaboratively in both community and office settings.

Some weekend hours may be required.

ESSENTIAL JOB FUNCTIONS

Administrative Functions Answer multi-line telephone in a timely, courteous, and professional manner. Accurately receive and disseminate messages Assist with research and cost comparison vendors for group meetings, graduation, and other activities for the program. General office duties such as typing, and correspondence with families. Provide meeting support as needed. Participate in local (regional) conferences and meetings. Contact new participants and complete enrollment application with eligibility documentation. Assist with preparing for initial, follow-up, and regular site visits by HIPPY US or funders. Perform other related duties as assigned.

Data Entry Functions Enter information on program participants into the data system Update participants' information and run reports as needed Maintain records (activity logs, client contact, and case notes) Stay updated on data system by attending enhancement trainings and meetings as needed Review eligibility documents and home visitors' reports

Recruitment Functions Attend community events and spend time in the community to recruit families to enroll in program Recruit and select eligible children/families (In coordination with the Coordinator and Assistant Coordinator Complete referral forms for new participants

Qualifications

II. SPECIFIC REQUIREMENTS

The position requires frequent, moderately complex, and often highly confidential communications with agency personnel and outside sources as a regular part of the job.Work is varied with some innovation required. Problems to be solved have a moderate degree of complexity. Must exercise discretion and independent judgment with respect to matters of significance.

Qualified candidates must possess the following Skills and Abilities Strong verbal and written skills Detailed oriented Knowledge of Excel/Access or other data systems Previous experience cleaning and entering data, and running reports Ability to work independently and collaboratively with different stakeholder groups (parents, community residents, staff) Ability to problem solve and set priorities

III. SCREENING QUALIFICATIONS Bachelor's degree (or equivalent education, training, and experience) in earlychildhood/elementary/family or adult education, social work, or a related field Experience in one or more of the following areas: education, program management,community mobilization, parent empowerment/family support, child/family advocacy orstaff development.
