Essential Job Functions: Resolve customer issues through effective communication via email and phone. Schedule truck appointments using the company computer system and manage daily appointment numbers in coordination with the terminal manager and yard supervisor. Verify customer releases against available inventory. Process customer requests, including inventory reports, schedule projections, and bank documents. Handle material transfers between customers, ensuring proper documentation. Scan and file the previous day's dock tickets and paperwork, saving in appropriate locations and sending them to customers each morning. Investigate and resolve discrepancies on dock tickets or in the inventory system. Foster a team-oriented atmosphere in the truck office by staying fully engaged with all employees. Assist truck logistics coordinators by working directly with truck drivers and resolving any issues at the window. Oversee the accuracy of truck logistics coordinators, providing coaching and instruction to ensure job improvement. Train new employees and consult with the Terminal Manager on potential disciplinary action when necessary. Manage multitasking requirements including phones, emails, computer systems, paperwork, scheduling, and meetings. Adapt to additional duties, including assisting at the window when required. Support company safety initiatives and report incidents following the company's reporting protocol. Experience Requirements: At least 1-3 years of similar experience in a maritime, industrial, or warehousing environment. Educational Requirements: High school or equivalent preferred Skill/Knowledge Requirements: Proficient in reading, writing, and communicating in English. Strong math and organizational skills with attention to detail. Ability to follow directions and perform job responsibilities safely. Team-oriented with a strong commitment to customer service. Ability to comply with operational directives and company policies. Strong communication and interpersonal skills. Proficient in Microsoft Office Suite and other computer applications. Ability to work collaboratively in a fast-paced environment. Capable of filing documents both electronically and manually. Work Environment: Exposure to various weather conditions, including heat, cold, and varying elevations. Noise levels may range from moderate to high. Work environment includes light to heavy equipment, materials, and communication tools. Overtime and weekend work may be required. Typical shifts range from 8 to 10 hours per day. Certifications/Licenses: Must attain and maintain a valid TWIC (Transportation Worker Identification Credential) card. CPR and first-aid training (in-house).
