We are seeking a highly experienced Collections Specialist to join our Revenue Cycle team. This is a critical role that requires expertise in managing delinquent patient accounts, preparing collection reports, and coordinating with both internal teams and external collection agencies. The ideal candidate will have a strong background in medical collections, exceptional attention to detail, and the ability to work independently with minimal supervision. Primary Responsibilities: Monitor and manage aging patient accounts through multiple pre-collection and collections phases. Review and interpret insurance claims, payments, and EOBs to validate balances and determine next steps. Perform account reconciliation. Investigate and resolve discrepancies through independent research and collaboration with internal departments. Prepare and send pre-collection letters via clearinghouse systems on a weekly basis. Maintain reports to ensure accuracy; remove paid or inactive accounts and escalate as needed. Generate CSV reports for internal use and final submission to external collection agencies. Communicate clearly and professionally with third-party agencies, divisions, and internal departments. Document all actions and findings in the EHR system. Support teammates by sharing knowledge and assisting with account review questions. Meet strict deadlines while maintaining accuracy. Perform other duties as assigned. Required Education and Experience: High School Diploma. 2+ years of related experience, with experience in an orthopaedic setting preferred. Proficiency with Microsoft Office suite of products as well as electronic billing systems. Extensive knowledge of insurance, benefits, medical terminology, and medical billing. Accounting background or equivalent knowledge to perform balance audits and adjustments. Experience working with billing and accounts receivable or both commercial and non-commercial payors. Competencies and Required Skills Required: 5+ years of experience in medical collections or revenue cycle roles. Strong interpersonal skills - ability to develop relationships and collaborate and influence in a centralized organization. Strong understanding of billing, account reconciliation, and insurance processes. Demonstrated ability to organize, prioritize, and manage multiple tasks in a dynamic environment with a proven track record of results. Ability to read, analyze, and interpret EOBs and claims data. Strong research and analytical skills to resolve complex account issues. Proficiency in Microsoft Excel (filtering, formatting, data prep). Strong interpersonal, oral, and written communication skills with excellent self-discipline and patience. Exudes professionalism in presentation. Excellent attention to detail and time management. Strong written and verbal communication skills. Ability to work independently and meet established deadlines. Must be able to read, write, speak, understand, and communicate in the English language. Preferred: Experience with Modernizing Medicine (ModMed) or other EHR systems. Familiarity with Trizetto or similar clearinghouse platforms. Knowledge of HIPAA regulations and patient confidentiality standards. Physical Demands: Must be able to sit for long periods of time and lift up to 25 pounds. Must be able to use appropriate body mechanics techniques when performing front desk duties. Requires frequent bending, reaching, repetitive hand movements, standing, walking, squatting, and sitting. Adequate hearing to perform duties in person and over telephone. Must be able to communicate clearly to patients in person and over the telephone. Visual acuity adequate to perform job duties, including reading materials from printed sources and computer screens.
